Senior Technical Project Coordinator
Job Summary
We are seeking a Senior Technical Project Coordinator who will be responsible for the ownership, coordination and delivery of a portfolio of complex, high\-value projects from formal sales handover through to delivery and completion. The role will ensure that each allocated project is planned, actively controlled and delivered in line with the agreed scope, programme, commercial requirements and the company's' quality and service standards.
Working closely with the Technical Project Manager, Technical Designers, Sales, Finance, customers and supply chain, the role provides the central point of coordination for the project. All key information, decisions, actions, dates and risks must remain visible through the agreed project systems so that the current position and next action are always clear.
The role requires strong technical awareness, commercial judgement, disciplined programme control and confident communication.
The role holder does not need to be an engineer or designer, but must understand how products move through manufacture, recognise when something does not look right, investigate routine issues independently and know when specialist technical input is required.
Key Responsibilities
Project Ownership, Allocation \& Handover
- Act as the clear Project Owner for allocated projects from formal handover through to delivery and completion.
- Attend the formal handover with Sales and the allocated Technical Designer, challenging incomplete, unclear or conflicting information before the project progresses.
- Confirm the agreed scope, customer requirements, programme, budget, responsibilities, risks and required technical input.
- Ensure all project information is recorded clearly enough for another suitable team member to understand and continue the project during absence.
- Maintain overall visibility while other team members own defined technical or specialist stages.
- Set up all required project records, trackers, checklists and HubSpot records at the start of each project.
- Create and maintain a live Gantt chart or project programme covering approvals, fabrication information, manufacture, finishing, logistics and delivery.
- Record key dates, dependencies, responsibilities, risks, outstanding information and follow\-up dates.
- Maintain clear action lists showing the next action, named owner and required completion date.
- Review progress continually, challenge slippage and agree recovery or mitigation actions before issues arise.
- Plan several weeks ahead, considering how approval, material, fabrication, finishing and logistics dependencies affect later stages rather than focusing only on today's urgent activity.
- Manage multiple live projects concurrently, prioritising activity according to programme, customer impact, risk and commercial importance.
- Work in partnership with the allocated Technical Designer throughout design, customer approval and fabrication drawing stages.
- Maintain visibility of drawing submissions, customer comments, approvals, revisions and technical dependencies, ensuring agreed follow\-up cycles are maintained.
- Review technical information sufficiently to identify gaps, inconsistencies, programme risks or scope concerns and raise them with the appropriate technical owner.
- Ensure the final technical hand back includes approved drawings, fabrication drawings, bill of materials, supplier requirements, finishing requirements, dates, risks and special instructions.
- Escalate significant technical, scope, programme, quality or commercial concerns to the Technical Project Manager while remaining involved as Project Owner.
- Do not authorise design or fabrication information outside the role's competence or delegated authority; formal technical approval remains with the designated technical owner.
- Act as the principal day\-to\-day coordination contact for customers, suppliers, fabricators and finishing partners on allocated projects.
- Maintain clear, professional and timely communication, ensuring commitments, changes and decisions are recorded in the agreed system.
- Confirm lead times, required delivery dates, manufacturing milestones, finishing requirements and logistics arrangements.
- Confirm that materials, components, approvals and manufacturing information will be available when required and investigate gaps before they affect production.
- Set planned reminders and complete at least weekly progress checks with relevant fabricators and suppliers for all live projects.
- Identify delays, capacity concerns, material issues, finishing problems or missing information early and agree appropriate action.
- Attend customer sites, supplier premises, factory inspections and project meetings where required.
- Raise and issue accurate Sales Orders to customers, including an agreed target delivery period.
- Raise and issue Purchase Orders and the approved manufacturing package to fabricators and suppliers, including the required delivery date.
- Coordinate manufacture, finishing, packaging, delivery documentation and logistics through to successful delivery.
- Plan UK and overseas transport in advance and confirm that goods are genuinely ready before committing transport.
- Check outstanding items, finishing status, quality\-control requirements, quantities and paperwork before delivery.
- Follow through shortages, damage, nonconformities, remedial works and outstanding deliveries to completion.
- Keep project trackers, programmes and systems updated following every meaningful change or progress update.
- Confirm delivery completion, close outstanding actions and ensure the project record is complete before formal completion.
- Maintain awareness of project value, budget, margin, costs and commercial commitments throughout delivery.
- Ensure variations, scope changes, additional costs and programme impacts are identified, documented, authorised and communicated before work proceeds wherever possible.
- Support protection of project margin by preventing avoidable errors, duplication, omissions and unmanaged changes.
- Record defects, delays, supply\-chain issues and nonconformities accurately and promptly in line with company procedures.
- Support root\-cause analysis, corrective actions and lessons learned, ensuring agreed actions are followed through.
- Work collaboratively across Sales, Technical, Operations and Finance, supporting clear handovers and preventing gaps or duplicated activity.
- Provide practical support, guidance and constructive challenge to Project Coordinators and other colleagues, without removing their ownership of allocated work.
- Provide effective cover on live projects during periods of absence or high workload, using the recorded project information and agreed handover arrangements.
- Share best practice and help embed consistent use of Amron's project tools, templates, systems and delivery standards.
- Contribute to workload, capacity and project\-review meetings with accurate, current information.
- Identify recurring problems and recommend improvements to processes, controls, documentation, supplier management and customer communication.
The Senior Technical Project Coordinator is expected to take ownership and make routine project decisions within the agreed scope, programme, budget and company procedures.
The following matters must be escalated promptly to the Technical Project Manager and, where appropriate, the relevant commercial or senior manager:
- Material changes to scope, cost, margin, quality or programme.
- Technical decisions or approvals outside the role's competence or authority.
- Likely missed customer commitments or significant delivery risk.
- Serious supplier, fabricator, quality, health and safety or contractual concerns.
- Decisions requiring authority beyond agreed project limits.
- Strong project coordination and programme\-management capability, with the ability to control several complex priorities and deadlines.
- Confident technical awareness and the ability to read and interpret drawings, specifications, bills of materials and project information.
- Excellent written and verbal communication, with confidence challenging customers, suppliers and colleagues constructively.
- High attention to detail and a disciplined approach to records, dates, actions and follow\-through.
- Practical problem\-solving and sound judgement, identifying issues early and proposing workable solutions.
- Commercial awareness, including an understanding of scope, variations, cost, margin and the consequences of delay.
- Calm, resilient and organised under pressure, with the ability to adapt plans while retaining control.

- At least five years' experience in senior project coordination, project management or a closely related delivery role.
- Demonstrable experience managing multiple projects through design, manufacture, supply or installation stages.
- Experience working with technical drawings, specifications, manufacturing information and delivery programmes.
- Practical understanding of fabrication and production processes, material lead times and the effect one delay can have on subsequent project stages.
- Experience coordinating clients, suppliers, fabricators, subcontractors or logistics partners.
- Strong working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Experience using CRM, ERP or project\-management systems; HubSpot and Sage experience would be advantageous.
