The Role
We are looking for an experienced, highly organised Senior Sales Administration \& Management Support professional to join our small, entrepreneurial team. You will manage sales order administration end\-to\-end, from customer orders and invoicing to logistics coordination and after\-sales follow\-up, while also providing reliable, confidential support to management. It is a hybrid role for someone who takes ownership, anticipates problems, and brings structure to a fast\-moving environment without adding unnecessary bureaucracy.

What You Will Do

• Manage the full order process for B2B and B2C customers, distributors and retailers, from processing to invoicing and delivery


• Ensure orders and deliveries comply with agreed deadlines, contractual terms and internal commercial procedures


• Coordinate with logistics and supply chain to ensure on\-time deliveries and stock visibility


• Handle after\-sales claims, disputes and outstanding payment collection


• Maintain and update customer, prospect and product data in our commercial system


• Draft and maintain order form templates, and keep price lists and product information current for distributors and retailers


• Support distributor and retailer onboarding, contracts and meeting preparation


• Follow up with commercial partners on agreed actions and ensure customer requests are resolved internally


• Follow up on management's decisions, action points and deadlines


• Prepare reports, meeting documentation and summaries for management


• Coordinate with external accountants, legal advisors and suppliers as needed


• Contribute to the continuous improvement of internal tools and processes, including ERP systems


• Help organise logistics for trade shows and events, and source/compare supplier quotes

• 5\+ years' experience in sales administration, ADV, sales operations or commercial coordination


• Experience in luxury, fragrance, cosmetics, fashion or premium consumer goods strongly preferred


• Proven track record managing orders and coordinating multiple stakeholders (customers, distributors, logistics)


• Strong Excel skills and general business administration tools


• Experience with CRM/ERP systems, ideally King Software


• Fluent in English and Dutch (mandatory)


• Valid driver's license, category B (mandatory)


• Highly organised, proactive, and comfortable juggling multiple priorities


• Excellent attention to detail and a strong sense of ownership


• Pragmatic, hands\-on and confident communicating with senior management and external partners


• Comfortable working in a fast\-growing, evolving environment


• Strong follow\-through, so nothing falls through the cracks
