Skills, knowledge, experience required:

  • A level of post\-secondary education attested by a diploma OR a level of secondary education attested by a diploma giving access to post\-secondary education;

  • Minimum 4 years’ relevant professional experience, of which minimum 3 years’ experience in administration or human resources or finance or communications or event management or facilitation;

  • Experience in the field of administrative work;

  • Excellent usage of MS Office, in particular MS Excel;

  • Ability to:

  • Work under pressure and respond to changes in a rapidly evolving work environment;

  • Exercise professional discretion in a highly confidential work environment;

  • Cooperate smoothly in the multicultural environment;

  • Proven strong level of personal integrity;

  • Supportive and helpful personality, with a cooperative and service\-oriented attitude;

  • Good communication and interpersonal skills;

  • Proficiency in written and spoken English (level C1 or higher);

  • Good level of Estonian language (level B2 or higher).
Duties/role:
  • Setting up recurring internal (sector, unit, with the Head of Unit) meetings, and preparation meetings for AG and CWG (eu\-LISA, contractor, COM, MSs, Frontex (FX));

  • Setting up monthly preparation meetings for CWG with eu\-LISA, COM and Frontex (FX);

  • Aligning on agendas and presentations for CWG with eu\-LISA, FX, COM;

  • Aligning internally to ensure timely delivery of presentations from teams and sharing them with stakeholders (MS) prior to CWG meetings;

  • Participating in monthly stakeholder meetings (AGs, CWGs) and taking notes on actions;

  • Updating action lists and sharing them with stakeholders (internally and externally);

  • Coordinating the review of AG Executive Summaries and sharing final versions with stakeholders;

  • Coordinating the review of AG Meeting Minutes and sharing final versions with stakeholders;

  • Facilitating consultations with stakeholders;

  • Supporting the onboarding process for carriers (responding to queries in functional mailbox/Jira/participating in meetings with project teams);

  • Organising monthly meetings with the Carrier community (Carriers, Service Providers, AG members);

  • Providing support to the Management Board Secretariat (MBS) with presentation screening and managing access to Carrier meetings;

  • Coordinating the review process of CWG summaries among eu\-LISA, COM and FX, and ensuring timely upload to the website;

  • Providing extranet/intranet access to colleagues;

  • Participating in planning and organisational work of BRMS and its staff members;

  • Forwarding all documentation (FAQs, SOPs, meeting materials, etc.) to the Carrier community;

  • Aligning documentation on SharePoint / T drive;

  • Providing final documents (attendance lists, registered carriers lists, meeting materials) to AG members via the MBS;

  • Arranging ad\-hoc meetings with the carrier industry;

  • Facilitating consultations with stakeholders for the implementation of the above tasks;

  • Using Microsoft Office and SharePoint to support all the above activities.
