Sales Support
Job Purpose
The Sales \& Office Support role sits at the heart of the business, providing day\-to\-day support to both the office\-based departments (Purchasing, Accounts and Marketing) and the road\-based sales team of field representatives. Alongside this support function, the successful candidate will manage their own office\-based sales portfolio, handling order processing, customer quoting and ongoing customer relationship management for an allocated set of accounts.
This is a varied and customer\-facing role, requiring someone who is equally comfortable liaising with customers by phone, email and WhatsApp as they are supporting internal colleagues and the wider sales operation. The role offers genuine scope to influence revenue growth through proactive account management, upselling and the reactivation of dormant customers.
Key Responsibilities
Order Processing:
● Process customer orders received via the website, email and telephone, ensuring accuracy and prompt turnaround at every stage.
● Handle phone orders directly through the website ordering system, guiding customers through the process where required.
● Coordinate on out\-of\-stock and non\-stock items, liaising with the relevant colleague to confirm expected availability and keep customers informed of progress.
Quoting \& Pricing
● Prepare quotations for existing customers not assigned to a sales representative, applying either standard discounting or bespoke pricing as appropriate.
● For customers assigned to a sales representative, quote at standard discounted rates only, referring requests for further discount to the relevant sales representative.
● Support the Business Development Manager and Managing Director with documentation for larger tenders.
● Forward quotation requests from new customers to the Business Development Manager, using judgement on order quantity and value to determine the appropriate route.
● Produce accurate quotes from a blank template where no existing pricing structure is available
Product Sourcing \& Set\-Up
● Source pricing from existing, active suppliers using current supplier price files and login credentials, checking regularly that these remain up to date.
● Set up new product lines in smaller quantities and keep existing product information accurate and current within the system.
Customer Account Development
● Reactivate lapsed and dormant customers using an agreed script and outreach plan, covering three distinct customer types: those who have not ordered in the last two weeks, lost clients and prospects.
● Identify upselling and cross\-selling opportunities for existing customers by reviewing purchasing data and sales dashboards to spot gaps between what a customer currently buys and what else they could be offered.
● Conduct monthly account reviews using sales reporting, and quarterly telephone reviews with customers to check on their current progress and satisfaction.
● Support the wider drive to improve revenue from existing accounts, including nudging customers on aged receivables and flagging accounts at risk of being lost.
● Open new customer accounts and manage the transition of qualifying customers onto credit accounts with fixed pricing and online ordering.
Supporting the Office and Road Sales Teams
● Act as the first point of contact for the road\-based sales team, supporting field representatives with order processing, pricing queries and customer queries while they are out on the road.
● Provide day\-to\-day administrative and operational support to the Purchasing, Accounts and Marketing departments as required.
● Handle general telephone calls and email enquiries from customers and suppliers, ensuring queries are resolved promptly or passed to the right person.
● Support the Managing Director and wider office team with ad hoc tasks as business needs require.
Skills, Knowledge \& Experience
● Strong communication and interpersonal skills, with the ability to build rapport at all levels.
● Proven customer service skills and a friendly, professional telephone manner.
● Good written English and confident, clear email communication.
● A helpful, proactive, “can\-do” approach to work.
● Confident researching and sourcing products, with good business acumen.
● Comfortable working with pricing and discount calculations.
● Able to prioritise workload, offer alternatives and use initiative to resolve problems.
● Excellent attention to detail, with strong planning and organisational skills.
● Good working knowledge of Microsoft Excel, Outlook and other core Microsoft Office applications.
● Experience with Trello, or willingness to learn, and familiarity with CRM/ordering systems such as Intact is an advantage.
● A full, valid UK driving licence is required, along with access to a vehicle.
Working Arrangements
● This is an office\-based role, working five days per week from the Purfleet office; remote or hybrid working is not available for this position.
● A full, valid driving licence is essential, as the office is not well served by public transport.
● Free on\-site parking is provided.
Dimensions of the Role
● Daily liaison with colleagues across the business, together with customers and suppliers, at all levels.
● Oversight of the day\-to\-day processing of up to £3 million worth of customer orders annually.
● Regular collaboration with the road\-based sales teams as well as the Purchasing, Accounts and Marketing departments.
Pay: £22,600\.00\-£30,000\.00 per year
