PPL Biomechanics is a leading Irish medical device manufacturer and distributor, supplying custom\-made orthotic solutions and specialist medical footwear to public and private sector healthcare providers. We operate in a regulated environment where accuracy, documentation integrity and compliance are essential.
We are seeking a Sales Order Administrator (Healthcare) to manage and validate purchase orders from public and private sector healthcare procurement teams. This role focuses on order accuracy, quotation alignment and documentation control — it does not involve sales targets, telemarketing or call\-centre style customer service.

Key Responsibilities
- Process and validate sales orders received via email, phone and public/private procurement systems, ensuring 100% accuracy within the Intact Xline ERP system.
- Verify purchase orders against quotations to confirm correct pricing, product codes and practitioner details before release.
- Liaise professionally with public and private sector procurement teams (by email and phone) to resolve documentation discrepancies — this is targeted communication, not a call\-centre role.
- Monitor order status and resolve holds related to missing POs, pricing discrepancies or incomplete approval details.
- Maintain accurate documentation to meet audit, GDPR and medical device traceability standards.
- Collaborate with internal teams (Sales, Manufacturing, Accounts, Warehouse) to support timely fulfilment and invoicing.
- Escalate and follow through on order issues impacting processing, compliance or payment.
- Contribute to improvements in order workflows and documentation accuracy.
What We’re Looking For
- At least 3 years’ experience in order processing, procurement support, healthcare logistics or similar structured environments.
- Experience working with purchase orders, quotations or ERP systems (Intact Xline an advantage).
- High attention to detail and accuracy, with understanding of commercial and compliance impact.
- Ability to resolve order issues directly with procurement teams rather than passing them on.
- Professional written and verbal communication skills, particularly when working with public sector or healthcare organisations.
- Familiarity with regulated environments (GDPR, MDR or audit processes) beneficial.
