Sales & Events Co-ordinator
Job Purpose
We are seeking a highly organised, proactive, and client\-focused Sales \& Event Co\-ordinator to support the successful conversion and coordination of weddings, corporate events, private dining, and special occasions at our prestigious historic Manchester venue.
This is a fast\-paced role responsible for managing enquiries from initial contact through to event handover, ensuring exceptional client communication, accurate administration, and strong conversion performance.
Working closely with the Sales Office Manager and collaborating with the Operations team, the Sales \& Event Co\-ordinator will play a key role in delivering seamless client journeys while maximising revenue opportunities and upholding the venue’s reputation for excellence.
Key Responsibilities
· Enquiry Management \& Conversion
· Respond to all inbound enquiries (phone, email, website and third\-party platforms) within agreed response time standards.
· Qualify enquiries effectively to understand client needs, budgets, and event objectives.
· Prepare tailored proposals, quotations, and contracts in line with venue pricing and commercial guidelines.
· Conduct client show rounds and venue appointments, showcasing the venue’s facilities and capabilities.
· Proactively follow up on all enquiries to drive conversion to confirmed business.
· Identify opportunities to upsell packages, enhancements, and added\-value services to maximise revenue.
· Maintain accurate and up\-to\-date records within the CRM system.
Event Coordination \& Administration
· Manage confirmed events from booking stage through to final detail confirmation.
· Prepare detailed and accurate function sheets for operational handover within agreed timelines.
· Ensure all contractual documentation, deposits, and payment schedules are correctly processed.
· Liaise with clients to confirm final numbers, dietary requirements, room layouts, and timings.
· Attend planning meetings where required to ensure clarity of client expectations.
· Work closely with the Operations team to ensure smooth event delivery.
Client Experience
· Build strong relationships with clients, acting as a key point of contact throughout their journey.
· Deliver a professional, friendly, and responsive service at all times.
· Handle client queries and concerns promptly and effectively.
· Support wedding showcases, open evenings, exhibitions, and networking events.
· Represent the venue in a manner consistent with its historic prestige and brand standards.
Commercial Performance
· Support achievement of departmental revenue targets.
· Maintain strong individual enquiry conversion ratios.
· Monitor pipeline activity and ensure proactive management of all opportunities.
· Contribute ideas to improve sales processes, guest experience, and revenue generation.
Compliance \& Standards
· Ensure all sales administration follows company policies and commercial procedures.
· Maintain GDPR compliance and secure handling of client data.
· Uphold venue presentation standards and protect the integrity of the historic building.
Candidate Profile
· Previous experience within hospitality, weddings, events, or hotel sales preferred.
· Strong administrative and organisational skills with excellent attention to detail.
· Confident communicator with strong written and verbal skills.
· Demonstrable ability to convert enquiries into confirmed business.
· Professional, well\-presented, and customer\-focused.
· Ability to manage multiple events and deadlines simultaneously.
· Comfortable using CRM systems and Microsoft Office platforms.
· Flexible and able to work evenings or weekends when required for client appointments and showcases.

Pay: £29,500\.00 per year
