Sales Administrator
Job Overview
We are seeking a dynamic and detail\-oriented Sales Administrator to join our team. In this role you will be the backbone of our sales operations \- owning quotations and follow\-ups, ensuring seamless communication, efficient processing, and outstanding support for our sales team and clients. You'll also provide confidential administrative support to HR. Your proactive approach and excellent organisational skills will drive our sales processes forward and contribute to the overall success of the business.
Salary negotiable from £25,500\.00 dependant on experience
Key Responsibilities
Quotations \& Follow\-Ups (core focus)
- Prepare and issue accurate, timely quotations to customers following enquiries or showroom visits
- Log every quotation on the CRM/tracker
- Own a structured follow\-up cadence \- chasing outstanding quotes by phone/email within agreed timescales
- Flag stalling or at\-risk quotes to the relevant Area Manager or specialist assessor
- Track conversion rates on quotations and report patterns back to the team
- Update customers on order status, delivery timelines, and any changes
- Manage and update CRM software to track sales activities, leads, and client interactions
- Assist with order processing, invoicing, and documentation using Sage accounting software and other relevant tools
- Prepare and organise sales reports using Excel and PowerPoint to support decision\-making
- Coordinate communication between sales teams, clients, and internal departments via Outlook and other platforms
- Coordinate supplier paperwork, training bookings, and delivery scheduling
- Handle inbound enquiries by phone/email and route them to the right person or store
- Schedule meetings, prepare agendas, and take minutes as required
- Maintain accurate records of sales activity and client interactions to ensure data integrity and compliance
- Prepare staff letters and correspondence (e.g. offer letters, contract variations, confirmation letters)
- Maintain and update employee records, ensuring accuracy and strict confidentiality at all times
- Support general HR record\-keeping and filing in line with data protection requirements
- Handle all HR\-related information with discretion, escalating sensitive matters appropriately
Essential:
- Proven experience in sales administration or a similar administrative role with a strong focus on customer service
- Confident, professional phone manner \- comfortable following up customers persistently but courteously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with CRM software for managing customer data and sales pipelines
- Excellent written and verbal communication skills
- Strong organisational skills with the ability to prioritise tasks effectively in a fast\-paced environment
- Excellent attention to detail and accuracy with data
- Ability to handle confidential and sensitive information with discretion
- Experience working with Sage or similar accounting software
- Experience in retail, healthcare, or a customer\-facing admin role
- Familiarity with finance/credit application processes
- Previous exposure to HR administration or record\-keeping
