Sales Administrator
We are looking for a detail\-oriented and proactive Sales Administrator to join our growing team.
This is a customer\-focused role that will play an important part in managing the customer journey from initial enquiry through to quotation, order and delivery. You will be a key point of contact for customers, handling enquiries, preparing and supporting quotations, coordinating orders and ensuring customers receive a professional and efficient service throughout.
Working closely with our Sales Team and Project Managers, you will also provide administrative support on project work, assist with preparing quotations and help coordinate and schedule non\-project work through to completion.
The role would suit someone who is highly organised, confident communicating with customers and colleagues, and able to manage multiple priorities in a fast\-paced environment.
Key Responsibilities
- Manage incoming customer enquiries by telephone and through the sales inbox, ensuring all enquiries are responded to promptly and professionally.
- Take ownership of the customer journey from initial enquiry through to quotation, order and delivery, keeping customers updated throughout.
- Prepare and issue quotations for a range of signage, print, joinery and other products, with support from the wider sales team where required.
- Support the preparation of quotations for larger project work, liaising with the Estimator/Buyer and Project Manager to ensure all relevant requirements and costs are included.
- Liaise with customers to understand their requirements, provide product information, answer queries and resolve issues.
- Process sales orders accurately and ensure all relevant information is passed to the appropriate departments.
- Schedule and coordinate non\-project work, ensuring jobs are planned and communicated effectively through to completion.
- Monitor stock levels for regularly supplied items and materials, identifying when stock is running low and flagging purchasing requirements to the Buyer to ensure materials are available when needed.
- Work closely with production, design, installation, purchasing and project teams to ensure customer requirements are delivered efficiently.
- Maintain accurate customer, quotation and job records, ensuring all relevant documentation is kept up to date and organised.
- Assist with coordinating deliveries and keeping customers informed of progress and timescales.
- Identify and follow up outstanding quotations and customer enquiries where required.
- Support the Sales Team and Project Manager with general administration and additional tasks as needed.
- Previous experience in sales administration, customer service, coordination or a similar role is preferred but not essential.
- Experience working within a fast\-paced office or customer\-facing environment would be advantageous.
- Proficiency in Microsoft Office Suite, particularly Word and Excel, is required. Experience with CRM or job management software is advantageous.
- Excellent written and verbal communication skills, with a high level of accuracy and attention to detail.
- Strong organisational skills and the ability to manage multiple enquiries, quotations and deadlines simultaneously.
- Ability to work independently while also working effectively as part of a wider team.
- A proactive approach, with the confidence to take ownership of tasks and follow them through to completion.
- A customer\-focused approach, with the ability to build positive relationships with clients and colleagues.
- Previous experience within signage, manufacturing, construction, interiors or a similar industry would be beneficial but is not essential.
