As part of our continued growth, we are expanding our FM and Property Maintenance division and are now seeking a motivated Sales Administrator with a background in property or estate agency to join our dynamic sales and coordination team.
The Role
This is a varied, fast\-paced role that sits at the heart of our sales function, acting as a vital link between our clients, our sales team, and our operational delivery teams. You will handle everything from initial enquiries through to job coordination and pipeline management.
This position is well suited to candidates with experience in:
- Lettings or Property Management• Estate Agency• Maintenance Coordination• Block or Portfolio Management
1\. Enquiries \& Client Handling
- Handle all inbound enquiries from property managers, landlords, and commercial accounts• Record and monitor all leads and enquiries accurately within our HR and CRM systems (including Breathe)• Deliver prompt, professional responses — turnaround time is a key performance indicator• Take ownership of every enquiry to ensure nothing is overlooked or delayed
- Support the preparation and distribution of client quotations across the following services:• Property maintenance and reactive repair works• Facilities management contracts• Commercial cleaning packages• Actively chase outstanding quotes and work to maximise conversion rates• Provide day\-to\-day support to Business Development Managers (BDMs) across the team
- Schedule and confirm site visits, surveys, and assessments• Communicate effectively with engineers, cleaning operatives, and subcontractors• Manage job diaries and ensure seamless service delivery across all contracts• Respond efficiently to reactive maintenance requests and coordinate appropriate resource
- Keep all client and job records up to date within our systems, including Breathe and our job allocation platform• Monitor leads, quotations, and job progress throughout the full sales lifecycle• Ensure complete visibility of the pipeline for the wider sales and management team• Maintain thorough records of all client interactions, updates, and communications
- Serve as a primary point of contact for clients throughout the duration of their jobs• Keep clients informed with regular updates on progress, timescales, and any changes• Handle client expectations professionally and work to build long\-term, trusted relationships
- Previous experience in property management, lettings, estate agency, or FM administration• Strong organisational skills and an ability to prioritise a busy and varied workload• Excellent written and verbal communication skills• Comfortable working with CRM or job management systems• A proactive, solutions\-focused attitude with high attention to detail• Ability to remain calm and professional under pressure
