As we continue to grow, we're looking for an organised, proactive, and detail\-oriented Sales Admin Manager to join our team and play a key role in supporting our acquisitions and sales operations.

Job Summary
This is a varied and fast\-paced role at the heart of our property business. You will be responsible for managing the onboarding of new vendors, ensuring compliance checks are completed, coordinating property listings and viewings, maintaining accurate records within our CRM systems, and supporting the wider team with administrative tasks relating to property purchases and sales.

The ideal candidate will have strong organisational skills, excellent communication abilities, and a genuine interest in the UK property market.

Duties

Vendor Onboarding \& Compliance

  • Own and manage the onboarding process for new property vendors.

  • Conduct vendor identity verification and compliance checks.

  • Ensure all compliance documentation is collected, recorded, and maintained accurately.

  • Liaise with vendors to obtain any outstanding information or documentation.
Property Listings
  • Create and manage property listings across online property portals and marketing platforms.

  • Ensure listings are accurate, professional, and updated throughout the sales process.

  • Upload property information, photographs, and supporting documents.
Property Due Diligence
  • Download and review title documents, title plans, deeds, and leasehold information from HM Land Registry.

  • Develop an understanding of property ownership structures, lease terms, restrictions, and legal documentation.

  • Escalate any potential issues identified during the due diligence process.
Viewings Coordination
  • Manage the viewing process between vendors, buyers, investors, and third\-party viewing platforms.

  • Schedule appointments and maintain clear communication with all parties.

  • Ensure feedback and viewing updates are recorded and communicated appropriately.
CRM \& Administration
  • Maintain accurate records within internal CRM systems.

  • Update property statuses, compliance records, and transaction notes.

  • Support the acquisitions and sales teams with administrative tasks throughout the property lifecycle.

  • Assist with document preparation, reporting, and file management.
Customer Communication
  • Respond promptly and professionally to property enquiries via telephone and email.

  • Build positive relationships with vendors, buyers, investors, and professional partners.

  • Deliver excellent customer service and represent the SmoothSale brand positively at all times.
Experience

*Essential*

  • Previous experience in an administrative, sales support, property, estate agency or conveyancing role.

  • Strong organisational skills with excellent attention to detail.

  • Ability to manage multiple tasks and priorities simultaneously.

  • Excellent verbal and written communication skills.

  • Professional and confident telephone manner.

  • Strong IT skills and experience using CRM systems.

  • Ability to work quickly, efficiently, and accurately in a fast\-paced environment.

  • Proactive approach with a willingness to take ownership of tasks.
*Desirable*
  • Experience working within the property industry.

  • Knowledge of the UK property buying and selling process.

  • Understanding of HM Land Registry documents and leasehold properties.

  • Experience carrying out compliance or AML checks.

  • Familiarity with property portals and property marketing platforms.
