Here's how you'll bring the K Club's trailblazing vision to life:
- To coordinate reservations for the hotel including answering phones and emails
- To manage the Reservations mail box \- forwarding emails where required, flagging and ticking emails as per training, prioritising in order of importance, ensuring emails are responded to within the 48 hour window.
- To compile a comprehensive events/demand calendar and update into IDeaS and Opera.
- To assist in devising and implementing a pricing strategy that takes into account potential occupancy in the hotel according to seasonal period and other relative factors.
- To review rate shopping reports on a weekly basis to ensure the hotel is competitively positioned to win business.
- To complete the daily pick up report
- To complete the weekly Booking Momentum/Pace Report for the hotel
- To assist in managing \& controlling our various systems \- PMS, IDeaS, Netaffinity, SiteMinder and SynXis to ensure optimum set up.
- To participate in and contribute to the hotel's regular Revenue Meeting and ensure all relevant reports are timely and accurate in the absence of the Director of Revenue
- To encourage the development of relationships with new and existing clients (including third parties), working in conjunction with the key account manager to drive increased business from each online channel for the hotel
- To produce and publish a monthly analysis/report summarizing the month end reservations activity by channel and by segment.
- To develop and mentor the Reservations Agents for future advancement.
- To be flexible and have the ability to work on own initiative and take a genuine interest in business development.
- To forecast weekly for the period 0\-3 months in absence of the Director of Revenue
- To ensure that all reservations are entered correctly versus market segmentation and that all such reports are accurate.
- To assist in devising packages and upload same on\-line to our website and on to 3rd party sites as required.
- To upload rates and packages onto Opera, SiteMinder, and SynXis Channels as required.
- To manage room blocks and implement washdown and rooming list process as required
- To manage the reservations check process for all future reservations,
- To communicate customer feedback (regarding reservations matters), bringing all specific feedback to the attention of the Hotel Manager/Chief Executive.
- To respond to management requests in a timely manner.
- Ensure all Tour Operator bookings are chased for pre\-payment 30 days prior to arrival
- To ensure weekly arrivals are completed
- To complete weekly VIP report and distribute accordingly
- To process travel agent commissions on a weekly basis
- To train new employees and retrain existing employees on all systems and procedures.
- To work with the Director of Revenue to ensure SOPs are in place, reviewed, and signed off
- To monitor and ensure standards are achieved and adhered to regarding service, uniforms and behaviour of staff
- To roster staff and ensure the time and attendance system is updated and maintained.
- To communicate any concerns regarding staff to the Hotel Manager.
- To provide feedback to management on guest complaints and compliments.
- To report all maintenance issues and log in the maintenance system
- To train and develop new and existing staff.
- To complete probation reviews and appraisals in a timely fashion
- To coach and counsel staff where and when appropriate.
- To establish and maintain good working relations with all employees within the department.
- Oversea the Group Reservations and make sure that rooming lists are being inputted properly and upselling occurs
- To cover the Director of Revenue in her absence
- Previous experience in a similar role is essential
- Knowledge of current systems (Opera \& Concept) would be desirable
- Will possess excellent communication and customer relation skills
- Will have the ability to learn quickly and work in a fast paced environment
