Job Title: Operations \& Recruitment Administrator
Location: Oadby, Leicester
Position Type: Full\-time, Monday–Friday
Hours: 08:00 – 16:00 or 09:00 – 17:00 (37\.5 hours per week, 30\-minute unpaid lunch)
Availability: Immediate start available
Purpose of the Role
This role sits at the intersection of technical provisioning, asset management, lifecycle administration, and frontline recruitment support. You will be responsible for the physical setup and software configuration of company mobile hardware, strict inventory control of operational equipment, managing the administration and compliance files for drivers throughout their employment lifecycle, and executing cross\-departmental coordination during onboarding and offboarding.
Core Responsibilities
1\. Technical Provisioning \& Driver Support
Tablet Configuration: Physically assemble, build, and configure Android tablet devices according to internal deployment checklists, ensuring all required operational applications are installed and tested.
First\-Line Driver Support: Act as the primary point of contact for drivers experiencing application issues or technical queries out on the road. Troubleshoot issues remotely to minimise driver downtime.
Inventory Control: Manage and audit stock levels for critical operational assets, including SIM cards, tablets, dash cams, trade plates, and staff uniform.
Asset Issuing \& Tracking: Log the assignment of hardware and kit to personnel, ensuring the internal database accurately reflects who holds specific assets. Reorder stock proactively to avoid operational shortages.
2\. Driver Onboarding, Offboarding \& Compliance Support
System Profile Creation: Build comprehensive digital profiles for new drivers within the internal system, ensuring all essential details—including banking information and emergency contacts—are entered without errors.
Document Management: Scan, verify, and upload critical right\-to\-work, licensing, and compliance documentation into driver profiles.
First\-Stage Screening: Conduct initial telephone screening calls with applicants to verify basic criteria and suitability before passing successful candidates to the lead team for virtual inductions.
Induction Cover: Deliver and facilitate virtual driver inductions as and when required to provide seamless cover for team absences, annual leave, or peak operational periods.
Termination \& Offboarding Lifecycle: Process termination documentation promptly when drivers exit the business. Serve as the primary point of contact to coordinate, log, and audit the return of all issued company kit (tablets, dash cams, trade plates, uniform).
3\. Frontline Communications \& Cross\-Departmental Coordination
Cross\-Departmental Communication: Ensure all relevant internal business units and departments are systematically communicated with and integrated regarding driver milestones, operational changes, actionable tasks, and terminations to maintain procedural alignment.
Inbound Management: Answer incoming telephone enquiries efficiently, resolving basic queries or routing calls to the appropriate contact.
Inbox Triaging: Monitor and manage the team email inbox, responding to routine correspondence and flagging urgent matters.
Required Skills \& Experience
Microsoft Proficiency: Strong operational knowledge of Microsoft products (Word, Excel, Outlook, and Teams) for daily administration, tracking spreadsheet updates, and communication.
Administrative \& Data Accuracy: Exceptionally high attention to detail. Absolute precision is required when handling sensitive data such as banking details, termination paperwork, and compliance documents.
Inventory \& Asset Tracking: Experience or strong aptitude for stock control, checking delivery accuracy, and maintaining rigorous digital databases.
Communication Style: Clear, direct telephone manner. Ability to assess candidate responses objectively against a benchmark during screening calls, and provide clear instructions to drivers under time pressure.
Desirable Criteria
Android OS Expertise: Prior experience configuring, managing, or troubleshooting the Android operating system at a deeper functional level.
Citrix Systems: Previous experience working within a Citrix virtual environment or utilising Citrix\-based software applications.
Driving Licence: A full UK driving licence is preferred.
