As our business continues to grow, we are looking for an organised, enthusiastic and customer\-focused Front of House Receptionist / Service Administrator to become an integral part of our team.
This is a varied and rewarding role where no two days are the same. You will be the first point of contact for our customers and the vital link between our technicians, suppliers, fleet customers and management team.
The Role
As our Front of House Receptionist / Service Administrator, you will ensure every customer receives exceptional service from the moment they contact us until their vehicle is returned. You will be responsible for managing workshop administration, customer communications, scheduling and supporting the efficient running of the workshop.
This position requires excellent organisational skills, a positive attitude and the ability to prioritise multiple tasks while maintaining exceptional attention to detail.
Key Responsibilities Customer Service
- Welcome customers professionally and create an outstanding first impression.
- Answer incoming telephone calls promptly and professionally.
- Respond to customer emails and online enquiries efficiently.
- Handle retail, trade and fleet customer enquiries.
- Book vehicles in for servicing, MOT testing, diagnostics, repairs, tyres and specialist work.
- Explain work required, estimated completion times and pricing where appropriate.
- Keep customers updated throughout the repair process.
- Arrange vehicle collections and handovers.
- Build long\-term customer relationships through excellent service.
- Produce and issue workshop job cards accurately.
- Allocate work in conjunction with workshop management.
- Ensure technicians receive all necessary repair information before work commences.
- Provide technicians with manufacturer technical information, service schedules and repair procedures.
- Prepare specialist tooling and equipment required for scheduled repairs.
- Assist with workshop planning to maximise productivity and efficiency.
- Maintain accurate customer and vehicle records.
- Process invoices, estimates and quotations.
- Manage warranty documentation where required.
- Identify and order vehicle parts using electronic catalogues.
- Liaise with Bosch, motor factors and manufacturer suppliers.
- Monitor parts deliveries and resolve supply issues.
- Ensure parts are correctly allocated to job cards.
- Return incorrect or warranty parts where necessary.
- Maintain stock control for commonly used items.
- Deal with fleet maintenance providers professionally.
- Process authorisations and approvals.
- Update fleet management portals.
- Communicate repair progress and obtain additional work approvals.
- Ensure all fleet documentation is completed accurately.
- Maintain an organised and welcoming reception area.
- Manage incoming and outgoing post and deliveries.
- Monitor office supplies and stationery.
- Maintain accurate filing systems.
- Support management with administrative tasks.
- Assist with GDPR\-compliant handling of customer information.
- Ensure company procedures and Bosch standards are followed at all times.
