Reception Manager – Hermitage Medical Practice, Edinburgh
Hermitage Medical Practice is looking for an experienced, motivated, and people‑focused Reception Manager to lead our busy front‑of‑house administrative team. This is a key leadership role within a friendly, supportive GP practice serving approximately 7,750 patients in the heart of Edinburgh.

⭐ About the Role
As Reception Manager, you will oversee the day‑to‑day running of the reception and administrative functions, ensuring smooth patient flow, effective rota management, and consistently high service standards. You will provide leadership to the reception team, coordinate clinical and non‑clinical rotas, and act as a key point of contact for staff and patients.
You will also deputise for the Practice Manager when required, contributing to operational decision‑making, complaint handling, and quality improvement initiatives.
Key Responsibilities
Team Leadership
· Lead, support, and motivate the reception team
· Provide supervision, guidance, and regular performance check‑ins
· Support recruitment, induction, and ongoing staff development
Rota \& Workforce Management
· Create and maintain staff rotas
· Coordinate GP and clinical schedules, including duty doctor and extended hours
· Manage annual leave requests and locum bookings
· Ensure new staff and locums have appropriate system access and induction materials
Operational Management
· Oversee daily reception operations and appointment systems
· Maintain accurate administrative records
· Support audits, compliance checks, and facilities management
· Deputise for the Practice Manager when required
Patient \& Customer Service
· Promote a culture of excellent patient care
· Handle complex queries and Stage 1 complaints
· Support registration and contract‑related processes
Reception \& Administrative Duties
· Participate in routine reception tasks, including calls, enquiries, prescriptions, and document management
· Maintain accurate patient information on Vision and Docman
· Support recall systems and appointment booking
· Contribute to early morning and evening rotas when needed
⭐ Particulars
· Hours of work can be agreed between 34\-37\.5hrs per week but ideally covering 5 days per week.
· Salary is £31,707 per annum pro rata.

Essential experience and attributes:
· Minimum four years experience in a general practice reception environment/or equivalent
· Strong working knowledge of Vision and Docman
· Proven experience supervising or leading a team
· Excellent organisational and time‑management skills
· Strong communication and interpersonal abilities
· Calm, confident decision‑making under pressure
· A positive, patient‑centred approach
· Flexible, adaptable, and solution‑focused mindset
