Duties \& Responsibilities
- Liaise with shop/restaurant managers to understand and address purchasing requirements and operational issues
- Handle purchasing and sourcing of products from both local UK suppliers and overseas suppliers, particularly in China
- Process purchase orders efficiently with suppliers, ensuring accuracy, cost control, and timely execution
- Conduct market research on product pricing, availability, and sourcing options for new and existing items
- Coordinate orders, pricing, and stock replenishment via communication platforms such as Taobao, WeChat, WhatsApp, and other supplier channels
- Manage shipping and logistics arrangements for imported goods from China to the UK
- Liaise closely with freight forwarders, logistics agents, and brokers to ensure smooth customs clearance and timely delivery
- Facilitate communication and follow\-up on overseas purchase orders and shipments with suppliers, logistics partners, and internal managers
- Coordinate deliveries to restaurant outlets and warehouse locations
- Monitor shipment schedules and proactively follow up on delayed, missing, or incomplete deliveries
- Handle goods return and resolve logistics or supplier\-related issues where required
- Maintain accurate and comprehensive records of purchases, shipments, invoices, and related documentation
- Maintain and update supplier database, including contact details, pricing information, and specific supplier requirements
- Support warehouse operations, including stock control, goods receiving, dispatch arrangements, and inventory organisation
- Arrange and coordinate deliveries, collections, and internal stock transfers between warehouses and restaurant branches
- Communicate effectively with suppliers, warehouse staff, restaurant teams, and management to ensure smooth daily operations
- Provide general administrative support to restaurant operations and the office as required
- Oversee or assist with maintenance of company utilities and liaise with external service providers or brokers when necessary
- Undertake any ad\-hoc duties as required by management
- Report directly to the Office Manager
- Fluent in English, Cantonese, and Mandarin (spoken and written communication essential)
- Previous experience in procurement, purchasing, shipping, logistics, or warehouse coordination is preferred
- Strong understanding of import/export processes, including international shipping and customs procedures, is an advantage
- Familiarity with sourcing and communication platforms such as Taobao, WeChat, WhatsApp, and other online procurement tools
- Strong organisational skills with excellent attention to detail and high level of accuracy
- Strong communication and interpersonal skills, with the ability to liaise effectively with suppliers, internal teams, and external partners
- Proven problem\-solving ability and capability to handle operational issues independently
- Ability to multitask, prioritise workload, and perform effectively in a fast\-paced environment
- Strong team player with the ability to also work independently with minimal supervision
- Proficient in Microsoft Office (particularly Excel and Word)
- Familiar with Google Workspace applications, including Gmail and online collaboration tools
- Experience within the restaurant, catering, or hospitality industry is an advantage
Pay: £26,000\.00\-£27,000\.00 per year
