Job Purpose:
The purpose of this role is to provide efficient and proactive purchasing and administrative support, ensuring orders are processed accurately and delivered on time. Working closely with suppliers, clients and the internal team, the role will involve managing purchase orders, sourcing products, identifying cost\-effective alternatives and resolving any issues that arise. The successful candidate will play an important role in maintaining smooth day\-to\-day purchasing operations while providing a high level of service to both internal and external customers.

Main Duties and Responsibilities:
- Raising and processing purchase orders using XLedger (full training will be provided).
- Managing the purchasing inbox; ensuring emails are actioned.
- Monitoring purchase orders and following up to ensure they are processed and fulfilled in a timely manner.
- Liaising with suppliers regarding orders, pricing, product availability and delivery updates.
- Communicating with external clients to coordinate deliveries and resolve any issues that may arise.
- Keeping both internal teams and external customers informed of order and delivery progress.
- Proactively sourcing suitable alternative products when items are unavailable or out of stock.
- Identifying and recommending more cost\-effective alternatives where appropriate.
- Maintaining and updating spreadsheets and purchasing records accurately.
- Providing general administrative and purchasing support to the Office Manager as required.
- Working collaboratively as part of a small, friendly and supportive team.
- Assisting the Office Manager with ad hoc purchasing tasks and other duties as required.

Essential: Desirable:
Experience of:
At least one year’s experience in a similar role

Organised, IT literate and confident using spreadsheets and systems
Y
At least one year’s experience of using XLedger of similar purchasing software
Y
Skills and Abilities:
Excellent written and spoken English
Y
Confident in communicating with external and internal customers
Y
Comfortable to make unilateral decisions when necessary
Y
Able to manage conversations with vulnerable clients
Y
Qualities and General:
