R O L E   P U R P O S E

The Project Assistant supports the end\-to\-end delivery of solar PV, battery storage, and Energy as a Service installation programmes, working closely with Project Managers, surveyors, contractors, and clients. The post holder is responsible for scheduling and tracking installation activity, maintaining accurate project documentation, and providing progress reporting that keeps programmes on track from survey through to completion and handover.

K E Y   R E S P O N S I B I L I T I E S

Project Scheduling \& Coordination

– Coordinate installation schedules across multiple live programmes, aligning surveyor, installer, and contractor availability with client and funder deadlines.

– Liaise with the Project Management Team to sequence jobs efficiently, grouping works geographically where practical to minimise travel and downtime.

– Confirm site access, customer appointments, and pre\-installation requirements ahead of each visit, escalating any barriers to the relevant Project Manager.

– Update and maintain the master programme schedule, reflecting changes in real time as jobs progress, are rescheduled, or are completed.

– Support re\-planning where delays occur, identifying knock\-on impacts and proposing revised timescales to keep programmes on target.

Documentation \& Compliance Administration

– Prepare, issue, and track job packs, ensuring all required paperwork, permissions, and compliance documentation are in place prior to works commencing.

– Maintain accurate and current records within Big Change, ensuring job cards, timesheets, and completion evidence are logged correctly.

– Chase outstanding documentation from surveyors, installers, and contractors, escalating persistent gaps to the Compliance Manager.

– Support the collation of MCS, grant, and funder\-required paperwork ahead of submission deadlines.

Stakeholder \& Client Communication

– Act as a day\-to\-day point of contact for clients and site contacts regarding appointment confirmations, rescheduling, and general programme queries.

– Communicate clearly and professionally with contractors and operatives, ensuring instructions, scope, and expectations are understood ahead of attendance.

– Escalate customer concerns or complaints to the Project Manager promptly, ensuring a consistent and professional standard of service.

Reporting \& Systems Administration

– Produce regular progress reports summarising jobs scheduled, completed, and outstanding, for use in internal programme reviews.

– Maintain accurate data across Big Change, ensuring information is consistent and readily accessible to the wider team.

– Support the Project Management Team with data extracts and administrative packs for client meetings, tender submissions, and funder reporting.

Tender \& Programme Support

– Assist with the administrative preparation of project tenders, including collating supporting documentation, method statements, and pricing schedules.

– Support the onboarding of new programmes by setting up job tracking, documentation templates, and reporting structures in line with UTS standards.

S K I L L S   \&   E X P E R I E N C E

Upskilling \& Training

– Experience in a project support, coordination, or administrative role, ideally within construction, installation, or renewable energy programme delivery.

– Strong organisational skills with the ability to manage multiple schedules, deadlines, and stakeholders simultaneously.

– Confident user of Microsoft Office (particularly Excel), with the ability to quickly learn new systems such as Big Change.

– Excellent written and verbal communication skills, with a professional manner when dealing with clients, contractors, and internal teams.

– Strong attention to detail, particularly when maintaining compliance documentation and job records.

– Ability to work proactively, identifying and resolving scheduling conflicts or resourcing gaps before they impact programme delivery.

– A methodical, calm approach to managing a high volume of moving parts across live programmes.

Desirable

– Previous experience within a solar PV, battery storage, or wider renewable energy or retrofit programme environment.

– Familiarity with MCS, grant, or funder documentation requirements.

– Knowledge of Scottish Housing Association or RSL programme environments.

Pay: £25,420\.00\-£28,000\.00 per year
