Clonmel Community Parent Support Programme CLG is seeking a motivated, organised and experienced Programme Administrator to join our team in Clonmel.
The Programme Administrator plays an important role in the day\-to\-day running of the organisation, providing administrative, financial, payroll, governance and programme support to the Programme Manager and wider team. The role also involves maintaining accurate programme information and records through our Salesforce CRM system.
Key Responsibilities
- Process weekly payroll, staff travel expenses and authorised payments.
- Maintain accurate financial records, including bank reconciliations, invoices, income and expenditure records and Revenue payments.
- Prepare and maintain documentation required for the annual audit and liaise with the organisation’s accountant as required.
- Provide administrative support for Board meetings and the AGM, including preparation of documentation and minute\-taking.
- Maintain staff administrative records including timesheets, annual leave and travel records.
- Maintain accurate programme and service\-user information using Salesforce CRM, including data entry, updating records, checking data quality and generating routine reports as required.
- Maintain organised electronic and paper filing systems in accordance with GDPR and organisational procedures.
- Provide administrative support to the Programme Manager, including collating information, following up on documentation and routine correspondence.
- Manage general office administration, telephone enquiries, correspondence and office supplies.
- Relevant administrative experience.
- Strong organisational skills and excellent attention to detail.
- Good IT skills, including Microsoft Office and confidence using electronic systems and databases.
- Experience of, or ability to work confidently with, CRM/database systems such as Salesforce.
- Good written and verbal communication skills.
- Ability to manage competing priorities, meet deadlines and work both independently and as part of a team.
- Understanding of confidentiality and data protection requirements.
- Experience in payroll, bookkeeping or financial administration.
- Experience of Board administration and minute\-taking.
- Experience within a community, voluntary, charity or publicly funded organisation.
