This is a hands\-on individual contributor role for someone who brings procurement experience, commercial judgment, strong vendor management skills, and the ability to partner with fast\-moving technical teams.
Why join us?
- This is an opportunity to take ownership of a high\-impact procurement scope in a growing global SaaS company.
- You will work closely with R\&D, IT, Security, Finance, Legal, and Operations, and play a meaningful role in how Guesty buys, renews, manages, and optimizes its software, AI, and technology spend.
- If you are commercially sharp, process\-minded, stakeholder\-friendly, and excited by technology procurement in a fast\-paced SaaS environment, we’d love to meet you.
Requirements
- 3\+ years of experience in procurement, sourcing, vendor management, or contract management, preferably in technology, SaaS, software, AI tools, IT, security, or professional services.
- Experience negotiating SaaS agreements, software renewals, licensing, usage\-based pricing, commercial terms, and service agreements.
- Understanding of AI\-related commercial models, including token consumption, usage limits, overage fees, data usage terms, and vendor accountability — an advantage.
- Good understanding of P2P processes, including intake, approvals, purchase requisitions, purchase orders, vendor onboarding, and invoice/payment coordination.
- Ability to work with technical stakeholders, ask the right questions, understand business requirements, and translate them into practical procurement actions.
- Strong commercial mindset, negotiation skills, attention to detail, and ability to manage multiple priorities under pressure.
- Familiarity with procurement orchestration, SaaS management, ERP, contract management, or P2P platforms. Experience with tools such as Opstream, NetSuite, Torii, Zip, Monday.com, or similar platforms is an advantage.
- Comfortable working in Google Workspace, Slack, and fast\-moving digital work environments.
- Strong English communication skills, both written and verbal.
- Comfortable working in a hybrid model from either our Warsaw or Barcelona office.
- You are a practical procurement partner — someone who knows how to balance speed, governance, cost, risk, and stakeholder needs.
- You are comfortable challenging requirements when needed, keeping processes moving, and building trust with technical and business teams.
- You enjoy negotiating with vendors, improving how software and AI tools are purchased, and helping the business make better buying decisions.
Responsibilities:
- Manage procurement processes for software, SaaS, AI tools, IT tools, security solutions, technology services, and other related spend.
- Partner with R\&D, IT, Security, Finance, Legal, SaaS Management, and business owners to understand needs and drive purchasing processes from request to execution.
- Lead vendor negotiations, including pricing, renewals, expansions, true\-ups, payment terms, usage\-based models, and key commercial terms.
- Support SaaS and software renewal cycles, including usage review, seat optimization, benchmarking, stakeholder alignment, and approval routing.
- Support AI\-related procurement, including token\-based pricing, usage caps, data protection requirements, model/vendor terms, and commercial risk review.
- Identify opportunities to reduce cost, avoid unnecessary spend, consolidate tools, and improve commercial outcomes.
- Manage purchase requests through intake, approvals, security review, legal review, PO creation, and vendor communication.
- Support vendor comparisons, market checks, and competitive assessments for new purchases, renewals, and replacements.
- Maintain strong vendor relationships while protecting Guesty’s business, financial, data, and operational interests.
- Contribute to improving procurement workflows, templates, reporting, and the internal stakeholder experience.
