Dental Scotland is a busy, ambitious and growing dental group providing both private and NHS dentistry.
Our Bridge Street practice has a strong focus on high\-value private dentistry alongside NHS patient care. We are Scotland’s largest Invisalign provider and are also a major provider of composite bonding, veneers and cosmetic dentistry.
We are looking for an experienced, commercially minded and highly organised Dental Practice Manager to take responsibility for the day\-to\-day management and performance of our Bridge Street practice.
This is a hands\-on leadership role. The successful candidate will be expected to ensure the practice operates efficiently, delivers an excellent patient experience and achieves its operational and financial targets.
The Role
As Practice Manager, you will have overall responsibility for the smooth day\-to\-day running of the practice. You will lead and support the team while maintaining a strong focus on performance, patient experience, revenue and growth.
You will work closely with clinicians, Treatment Coordinators, reception and the wider Dental Scotland management team.
Key Responsibilities
Practice Operations
- Take ownership of the day\-to\-day operation of the dental practice.
- Ensure the practice runs efficiently, professionally and in line with company standards.
- Use SFD practice management software effectively to oversee practice operations, patient information, reporting and performance.
- Identify operational issues and resolve them quickly and effectively.
- Maintain excellent standards of patient service throughout the practice.
- Support both the private and NHS sides of the practice.
- Lead, motivate and manage the practice team.
- Create and maintain staff rotas, ensuring appropriate staffing levels across the practice.
- Manage holidays, absence and day\-to\-day staffing requirements.
- Set clear expectations for team members and hold staff accountable for their responsibilities and performance.
- Support staff development and help create a positive, high\-performance culture.
- Manage and support the Treatment Coordinator team.
- Monitor patient enquiries, consultations, follow\-ups and treatment uptake.
- Track and improve Treatment Coordinator conversion rates.
- Ensure prospective Invisalign, composite bonding, veneer and other private patients are followed up appropriately.
- Identify opportunities to improve the patient journey and increase treatment acceptance.
- Monitor the financial performance of the practice.
- Prepare and send required financial information and reports to management.
- Track revenue against agreed monthly and annual targets.
- Monitor key practice KPIs and take action where performance is below target.
- Work with the team to achieve targets for revenue, treatment conversion and orders.
- Understand the commercial performance of different treatments and clinicians.
- Produce accurate reports using SFD and other relevant systems.
- Identify opportunities to improve practice efficiency, profitability and growth.
- Take responsibility for stock management across the practice.
- Maintain appropriate stock levels while controlling unnecessary expenditure and wastage.
- Manage ordering and ensure orders remain within agreed budgets and targets.
- Ensure essential clinical and non\-clinical supplies are available when required.
- Monitor supplier orders and resolve any stock or delivery issues.
- Ensure patients receive a professional, welcoming and consistent experience.
- Support the team in handling patient enquiries and resolving complaints or concerns.
- Maintain high standards throughout the patient journey, from initial enquiry through consultation, treatment and aftercare.
- Ensure the experience reflects Dental Scotland’s position as a leading provider of Invisalign and cosmetic dentistry.
Performance within this role will be measured against clear KPIs, including:
- Practice revenue against target
- Treatment Coordinator conversion rates
- Invisalign and cosmetic treatment performance
- Patient enquiry\-to\-consultation conversion
- Consultation\-to\-treatment conversion
- Order and stock expenditure against target
- Practice diary utilisation and operational efficiency
- Team performance and staffing efficiency
- Financial reporting accuracy and timeliness
- Patient experience and service standards
We are looking for someone who combines excellent people\-management skills with strong commercial awareness.
The ideal candidate will:
- Have previous experience managing a dental practice or a similar healthcare environment.
- Be confident managing a busy team and multiple clinicians.
- Have experience using dental practice management software; SFD experience is highly desirable.
- Be comfortable working with financial reports, revenue targets and KPIs.
- Understand the importance of treatment conversion and private patient growth.
- Be confident managing and developing Treatment Coordinators.
- Have excellent organisational and rota\-management skills.
- Be comfortable taking responsibility for stock control and ordering.
- Be proactive and able to solve problems without requiring constant direction.
- Have excellent communication and leadership skills.
- Be confident holding team members accountable while maintaining a positive working environment.
- Have a strong understanding of patient experience and customer service.
