We are seeking a highly organised, proactive, and adaptable Personal Assistant to support the Managing Director and wider management team within our small children's residential care home. This is a varied and hands\-on role that will be integral to the day\-to\-day running of the organisation. The successful candidate will provide administrative, operational, recruitment, and business support, helping to ensure the smooth functioning of the care home while assisting the Financial and Business Development Lead with key projects and business activities.

This role would suit someone who thrives in a fast\-paced environment, can manage multiple priorities, and enjoys being at the centre of a small, dedicated team.

Key Responsibilities

  • Executive and Administrative Support: Provide comprehensive administrative support to the Managing Director and senior management team.

  • Manage diaries, appointments, meetings, and travel arrangements as required.

  • Prepare agendas, take minutes, and distribute meeting documentation.

  • Draft correspondence, reports, presentations, and other business documents.

  • Maintain accurate filing systems, records, and databases.

  • Handle confidential information with discretion and professionalism.
Operational Support
  • Assist with the day\-to\-day administration of the care home.

  • Support managers in ensuring policies, procedures, and records are maintained and up to date.

  • Monitor and order office supplies and resources.

  • Coordinate maintenance requests and liaise with external contractors where required.

  • Support compliance activities and document management.
Recruitment and HR Administration
  • Coordinate recruitment activities including advertising vacancies, arranging interviews, and communicating with candidates.

  • Manage pre\-employment checks, references, DBS applications, and onboarding documentation.

  • Maintain employee records and HR documentation.

  • Assist with induction planning and training administration.

  • Support workforce planning and staffing administration.
Financial and Business Development Support
  • Provide administrative support to the Financial and Business Development Lead.

  • Assist with data collection, reporting, and business performance monitoring.

  • Support invoice processing, purchase records, and general financial administration.

  • Assist with tender submissions, business proposals, and development projects.

  • Conduct research and gather information to support business growth opportunities.
General Responsibilities
  • Act as a key point of contact for internal and external stakeholders.

  • Build positive working relationships with colleagues, professionals, and partner organisations.

  • Contribute to a positive, professional, and child\-focused culture.

  • Undertake additional duties appropriate to the role and business needs.
Person Specification

Essential

  • Previous experience in an administrative, PA, Executive Assistant, or office management role.

  • Excellent organisational and time management skills.

  • Strong written and verbal communication skills.

  • Ability to manage competing priorities and work independently.

  • High level of attention to detail and accuracy.

  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

  • Ability to handle confidential and sensitive information appropriately.

  • Positive, flexible, and proactive approach to work.
Desirable
  • Experience working within children's services, social care, health care, or a regulated environment.

  • Knowledge of recruitment and onboarding processes.

  • Experience supporting financial administration.

  • Understanding of Ofsted\-regulated services and compliance requirements.
