About the Role
We are looking for a highly organised, proactive and personable Personal Assistant \& Business Administrator to work closely with our Director and provide essential support across the business.This is a varied and rewarding role for someone who enjoys being at the heart of a busy business. No two days will necessarily be the same. You will provide direct support to the Director while also assisting our General Managers, HR function and wider team with a range of administrative and operational responsibilities.We are looking for someone who is reliable, discreet, organised and able to use their initiative. You will need to be comfortable managing multiple priorities, communicating with people at all levels and taking ownership of tasks from start to finish.
Key Responsibilities
Personal Assistant Support
- Work closely with the Director to provide day\-to\-day personal and business support.
- Manage diary appointments, meetings and commitments.
- Assist with organising meetings, travel, bookings and events.
- Manage correspondence and emails where required.
- Prepare documents, spreadsheets, presentations and other information for the Director.
- Keep track of actions, deadlines and follow\-ups.
- Assist with personal arrangements and ad\-hoc requests for the Director.
- Act as a trusted and confidential point of contact.
- Manage invoice\-related emails across all companies.
- Prepare and distribute company\-wide communications.
- Maintain accurate records, spreadsheets and documentation.
- Assist with general office and business administration.
- Support the Director and management team with projects and ad\-hoc tasks.
- Provide administrative support to the HR function.
- Upload new starters and maintain employee information within BrightHR.
- Maintain the HR Docs spreadsheet and ensure records are kept up to date.
- Assist with employee documentation and onboarding administration.
- Handle confidential HR information appropriately.
- Provide administrative support to General Managers.
- Use Canva to create posters, documents, presentations, menus and other business materials.
- Support GMs with menu changes and updates.
- Liaise with tradesmen and contractors when required.
- Assist with events, team activities and company initiatives, including the annual staff party.
- Support the wider management team with ad\-hoc operational requirements.
We are looking for someone who genuinely enjoys being organised, getting things done and helping others.You will ideally have previous experience in a Personal Assistant, Executive Assistant, Administrator, Office Manager or similar role, although we are more interested in your attitude, organisation and ability to learn than simply your job title.You will be:
- Highly organised with excellent attention to detail.
- Proactive and able to work without constant supervision.
- Confident communicating with senior managers, employees and external contacts.
- Professional, friendly and approachable.
- Discreet and trustworthy when dealing with confidential information.
- Comfortable managing several priorities at once.
- A confident user of email, Microsoft Office and spreadsheets.
- Comfortable learning new systems such as BrightHR.
- Creative and ideally confident using Canva.
- Someone who takes ownership and follows tasks through to completion.
- Flexible and willing to get involved in whatever needs to be done.
