People Administration Assistant (Part-Time, 9-Month Contract) - Westbury - (HAW2723)
Location: Bridge House, Station Road, Westbury, BA13 4HR
Salary: £13\.45 \- £14\.00 per hour (dependent on experience)
Contract: Fixed\-term contract for 9 months
Working pattern: 15 hours per week \| Monday\-Friday \| 9:00am\-12:00pm

We are looking for a highly organised and proactive People Administration Assistant to join our People Team on a fixed\-term basis. This role will provide essential administrative support across all areas of the employee lifecycle and help ensure the smooth running of the People Department.
Role Purpose
The People Administration Assistant will provide efficient and accurate administrative support to the People Team, helping to maintain employee records, support recruitment and onboarding activities, process People\-related documentation, and respond to employee queries.
This role is ideal for someone who enjoys administration, has excellent attention to detail, and is looking to gain or develop experience within a People (HR) environment.
Key Responsibilities
Employee Administration
- Maintain accurate employee records, both electronic and paper\-based, ensuring compliance with GDPR requirements.
- Process employee lifecycle documentation, including offer letters, contracts of employment, change of terms letters, leaver paperwork and absence records.
- Update People systems and databases with employee information.
- Assist with filing and document management.
- Support recruitment administration activities.
- Arrange interviews and issue interview confirmations.
- Prepare new starter paperwork and onboarding documentation.
- Coordinate pre\-employment checks, including Right to Work checks, references, DBS checks where applicable, and vetting requirements.
- Support induction arrangements for new employees.
- Act as a first point of contact for routine People queries (telephone, email \& in\-person queries).
- Respond to requests from employees and managers in a professional and timely manner.
- Escalate more complex matters to the Senior People Manager or Head of People.
- Assist with preparing information required for payroll processing.
- Monitor completion of mandatory compliance documentation.
- Support audits and compliance checks as required.
- Maintain training, vetting and certification records.
- Schedule meetings and prepare documentation where required.
- Take notes and minutes during meetings.
- Support People projects and departmental initiatives.
- Assist with the management of the shared People inbox.
- Produce reports and spreadsheets as requested.
- Previous administration experience.
- Excellent attention to detail and accuracy.
- Strong organisational and time\-management skills.
- Ability to handle confidential information with discretion.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office, including Outlook, Word and Excel.
- Ability to prioritise workload and work independently.
- Previous HR, recruitment, payroll or People administration experience.
- Knowledge of employment\-related documentation and processes.
- Experience using HR or payroll systems.
- CIPD qualification or willingness to study towards one.
