Part Time Office Administrator
PST are looking for an organised, reliable and proactive Part\-Time Office Administrator to join our growing team based in Clifton, Bristol.
This is a varied and important role within the business where you will help run the day\-to\-day office operations while supporting both the Managing Director and Operations Manager.
We are flexible on working patterns and are looking for approximately 20 hours per week, which could be worked across 3 full days or spread over 4–5 shorter days for the right candidate.
The Role
This is a hands\-on office\-based role where no two days are the same. You will be responsible for helping keep the office organised and running smoothly while supporting administration across the business.
Main Responsibilities
Office \& Telephone Management
Manage incoming calls with professional phone etiquette and direct enquiries appropriately
Answer incoming office calls and divert to mobiles when required
Manage out\-of\-hours voicemail
Check and record messages
Pass messages and updates via email
Office Administration
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of information
Perform data entry tasks accurately using Microsoft Office and Dynamics 365 software
Handle administrative duties such as photocopying, scanning and distributing mail
Check and distribute incoming post
Scan and email documents as required
Check for post delivered to neighbouring offices
Maintain a tidy and organised office environment to promote efficiency
Sales \& Operations Administration
Processing delivery notes
Preparing and sending quotations
Processing purchase orders
Monitoring and reporting expenses
Assist with scheduling appointments, meetings and maintaining calendars
Support the preparation of reports, correspondence and other documentation as required
Booking hotels and travel as required and approved
Managing fuel card administration
Weekly communication with suppliers to ensure best fuel rates
Checking supplier invoices for accuracy
Vehicle \& Driver Administration
Introduce and maintain weekly vehicle checks with drivers
Record and report vehicle issues or damage
Book vehicle servicing and maintenance
Carry out driver licence checks for insurance purposes
Team Support
Support team members with various clerical and administrative tasks
Help ensure the smooth running of daily business operations
Provide support to the Managing Director and Operations Manager as required

Essential Skills \& Experience
Previous administration or office experience
Good working knowledge of Microsoft Office, particularly Excel
Experience using spreadsheets and data entry systems
Strong attention to detail and accuracy
Good written and verbal communication skills
Organised and efficient approach to work
Ability to manage multiple tasks and priorities
Professional and friendly telephone manner
Preferred (but not essential)
Experience using Dynamics 365
Experience working within transport, logistics or operations
Experience managing vehicle or driver administration
