Orders and Administration Assistant
We are working with a growing business based in Thirsk who are looking to appoint an organised and proactive Orders & Administration Assistant to join their small and friendly team.
This is a varied administrative role where you will provide day to day support across the business, with responsibility for processing orders, maintaining accurate records, communicating with customers and suppliers and supporting the wider team with general administration.
Alongside the office based responsibilities, you will also assist with packing and dispatching orders, so this would suit someone who enjoys a varied role and is happy to get involved with different aspects of the business.
The role will include:
- Processing customer and client orders accurately and efficiently
- Managing purchase orders, confirmations and delivery schedules
- Liaising with customers, suppliers and the sales team regarding orders and deliveries
- Preparing order confirmations, delivery notes and other relevant documentation
- Maintaining accurate records of orders, correspondence and transactions
- Updating CRM systems and ensuring information is kept accurate and up to date
- Monitoring stock levels and highlighting any potential shortages or delays
- Dealing with order queries, discrepancies and any issues that arise
- Supporting the sales team with general administration
- Coordinating deliveries and keeping customers and colleagues updated on progress
- Packing and preparing orders for dispatch
- Ensuring products are packed correctly and ready for collection or delivery
- Providing general office and administrative support as required
We are looking for someone who is organised, reliable and has excellent attention to detail. You will be comfortable managing a range of administrative tasks, keeping on top of deadlines and communicating with customers and suppliers.
You will also need to be happy getting involved with the practical side of the role, including packing orders and preparing them for dispatch.
Previous experience in an administration, order processing, customer service or similar role would be beneficial.
You will ideally have:
- Good administration and organisational skills
- Excellent attention to detail and accuracy
- Good written and verbal communication skills
- The ability to manage several tasks and priorities at the same time
- Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook
- A proactive approach and the ability to work independently
- A reliable and practical approach to your work
- The ability to work well as part of a small team
- Previous experience processing orders or working with customers and suppliers would be advantageous
- Experience using a CRM system would be beneficial
- Knowledge of Sage or basic accounting administration would be an advantage
- Permanent part time position, 25 to 30 hours per week
