About the Role

Positive Impact Care Group is looking for an organised, reliable and approachable Operations Support Administrator to support the day\-to\-day running of our services.

You will provide administrative support across recruitment, employee records, training compliance, attendance, payroll preparation and governance. This is a varied role requiring accuracy, good communication skills and the confidence to follow up outstanding information with employees and managers.

The successful candidate will help ensure that our records remain accurate, deadlines are met and managers have the information they need to deliver safe, effective and well\-led services.

Key Responsibilities

  • Provide administrative support to managers, Service Leads and operational teams.

  • Maintain accurate trackers, schedules, employee records and shared documents.

  • Support recruitment and onboarding, including references, right\-to\-work evidence, DBS checks and new starter documentation.

  • Create and update employee records on systems such as BrightHR, Lifted Care and Curve Learning.

  • Monitor mandatory training completion and renewal dates.

  • Send training and compliance reminders to employees and managers.

  • Maintain sickness, attendance, lateness and return\-to\-work records.

  • Support rota administration, including shift allocations and clocking records.

  • Prepare professional letters, emails, reports, forms and meeting documents.

  • Compile information for governance meetings, audits and quality reviews.

  • Upload approved documents to SharePoint and other designated systems.

  • Follow up missing information and escalate overdue or potentially non\-compliant records.

  • Handle personal and confidential information securely and professionally.

  • Respond to enquiries from employees, managers, families and external professionals.
About You

You will have:

  • Previous experience in an administration, operations, HR support or coordination role.

  • A good standard of written English and numeracy.

  • Strong organisational skills and the ability to manage competing priorities.

  • Excellent attention to detail.

  • Confidence using Microsoft Word, Excel, Outlook and SharePoint.

  • The ability to learn new systems quickly.

  • Clear and professional written and verbal communication skills.

  • Experience maintaining accurate and confidential records.

  • A reliable, calm and solution\-focused approach.

  • The confidence to follow up actions and raise concerns appropriately.

  • An understanding of confidentiality, data protection and professional boundaries.
Previous experience in health and social care, or another regulated environment, would be an advantage but is not essential.
