Operations & Project Administrator
AnaBio Technologies is a global leader in micro encapsulation technology. Micro encapsulation involves coating fragile bioactives in a protective coat at microscopic level enabling them to survive the stresses of processing, storage, and digestion. This unique technology makes it possible to deliver health benefits to consumers in a sustainable way and address some of the most pressing global health concerns, like immunity, obesity and diabetes. Founded over 15 years ago, AnaBio operates from a 4,000m2 Microencapsulation Centre of Excellence located in Carrigtwohill, 15kms from Cork City with Labs and offices in Dublin D02\. AnaBio’s extensive IP portfolio is based on extensive functional and clinical trials and encompasses 21 patent families. AnaBio works with blue chip multinational food, beverage and health companies throughout the world, offering contract research, commercial supply of microencapsulate ingredients via an FSSC22000 and FDA accredited production facility and the opportunity to license technology for their own production.

PURPOSE
AnaBio Technologies, a leading biotechnology company specialising in microencapsulation and bioactive delivery systems, is seeking a highly motivated and ambitious executive administrator, focused on project management and efficient communication. The successful candidate will act as a trusted right\-hand to senior leadership, providing comprehensive executive, administrative, project management and light marketing support across the business. The role is broad and dynamic, ideally suited to an experienced professional who thrives in a fast\-paced biotech environment and is comfortable operating at C\-suite level.
BACKGROUND Probiotics are health enhancing but fragile, and normally do not survive food and beverage processing. AnaBio’s encapsulation technology envelops fragile probiotics in a protective protein coat which enables them to survive heat treatment during processing and remain stable over the product shelf life at room temperature. This allows clients to create healthy convenient probiotic food and beverages, which would not otherwise be possible
KEY RESPONSIBILITIES *Executive \& Meeting Support*
- Coordinate and schedule client and stakeholder meetings, including agenda preparation, logistics and follow\-up.
- Take accurate minutes, capture key decisions and circulate clear action lists with owners and deadlines. AI platforms such at Otter are available and permitted for use
- Track outstanding actions through to completion and provide regular status updates to leadership.
- Arrange domestic and international travel for the Founder/CSTO, including flights, accommodation, ground transport and detailed itineraries with clients
- Proactively manage executive diaries, anticipating conflicts and prioritising effectively.
- Manage expense reporting and reconciliation for senior leaders.
- Plan and coordinate company social events, team briefings and offsite gatherings.
- Organise board meetings end\-to\-end, including scheduling, board pack preparation, distribution and minute\-taking.
- Support visiting clients, investors and partners with a polished and professional welcome.
- Manage AnaBio's weekly LinkedIn presence, drafting, scheduling and publishing content in line with brand and messaging guidelines.
- Engage with relevant industry conversations and monitor channel performance.
- Engage with animator for generation of short vidoes for social media feed i.e. educational clips for general consumer
- Maintain and drive cross\-functional projects through project management tool Monday.com, ensuring tasks, owners, timelines and dependencies are kept up to date.
- Produce concise project status reports and dashboards for the management team.
- Identify bottlenecks early and work with stakeholders to keep projects on track.
- Conduct basic marketing assessments to support the management team, including competitor scans, market research summaries and trend reporting.
- Help prepare presentations, pitch materials and other client\-facing documentation.
- Minimum 5–6 years' corporate experience in an executive assistant, office manager or senior administrator role.
- Prior reporting lines into C\-level executives strongly preferred.
- Excellent written and spoken English; confident, professional communicator at all levels.
- Strong project management skills and a structured, organised approach to work.
- Sound organisational strategy: able to prioritise, plan ahead and bring order to a busy environment.
- High level of discretion and professionalism in handling confidential information.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable adopting new digital tools.
- Eligible to work in Ireland and able to attend the Dublin office at least 3 days per week.
- Experience using Monday.com or comparable project management platforms.
- Hands\-on experience managing a company LinkedIn page or other corporate social channels.
- Previous exposure to biotech, life sciences, pharma, scientific or other regulated industries.
- Experience supporting board meetings and preparing board packs.
- A permanent role with a pioneering Irish biotech company.
- Direct exposure to the Founder/CSTO and senior leadership team.
