Operations Manager - Accountancy Practice
Job Overview
We're looking for a highly organised and personable Operations Manager to keep our accountancy practice running smoothly and deliver excellent service to every client. You'll oversee workflows and team performance and continuously improve our processes. Day to day, that means you will look after planning, administration, client onboarding, billing and systems. It's a varied, hands\-on role for a team player who enjoys helping clients and colleagues, pays great attention to detail and likes finding better ways of doing things.
Responsibilities
- Oversee service delivery: Work with each team to review plans and deadlines. Monitor workloads, identify capacity issues and move jobs between teams where needed to keep client work moving.
- Keep the practice commercially on track: Monitor monthly billing targets, work\-in\-progress, recovery, productivity and arrears by manager. Identify and resolve issues in these metrics. Ensure that work is billed and jobs are closed when completed. Prepare clear weekly reporting for the leadership team and follow up on agreed actions.
- Look after our clients: Run client onboarding so new clients get a friendly, smooth start, gathering the information, authorisations and records we need to begin serving them. Handle offboarding professionally when clients leave. Keep proposals and engagement renewals on track and resolve any issues that arise.
- Support the team: Set clear expectations, conduct performance reviews and address any people issues. Help colleagues solve problems and coordinate holidays and training. Assist with recruitment and help new starters settle in.
- Manage systems and procedures: Keep procedure documentation up to date and ensure that processes are followed. Improve our systems and automations, and coordinate the rollout of new software and system changes.
- Run office administration: Manage suppliers, IT, telecoms and office arrangements so the office works well day to day.
