ATS Travel Ireland is an Inbound DMC/Tour Operator with offices in London, Edinburgh, Dublin, Florida, Monaco. We are looking for a French speaking Operations Executive to join our Irish team. The focus of the role will be operating tour groups travelling around Ireland and executing their day to day itineraries.

The ideal candidate should have the following key skills:

  • Language skills: Fluency in English and French.

  • Desirable: Italian language skills would be an advantage

  • Experience: ideally a minimum of 1 year of experience in an Irish or UK inbound tour operator in a group operations role. Proven experience of operating groups is an advantage

  • Knowledge: Good knowledge of Ireland as a destination.

  • Communication: the ability to be able to communicate clearly and concisely, both orally and in writing. (English \& French)

  • Energy: you enjoy the buzzing energy of the travel industry, and you are willing to invest time and effort to achieve your goals. You want to grow professionally and succeed in your job within the travel industry.

  • Flexibility: to be able to adapt to ever changing situations and being open to new ideas and people.

  • Problem solving: you are able to identify and analyse an existing/potential problem and find suitable solutions for each situation.

  • Teamwork: you are a team worker but are also able to work individually, in accordance with guidelines and processes.

  • Trust: you know your strengths as well as your opportunities to improve

  • Organizational skills: great attention to detail and speed working under pressure. Ability to work in compliance with deadlines and prioritizing requirements and booking key services first.

  • Systems – working knowledge of Tourplan is an advantage.
Summary of Role:
  • To assume all responsibility for clients confirmed groups; to book all services required in good time and making sure all details are correctly booked and inserted in the operational system prior to the group arrival.

  • To liaise with the Business Development Team in order to understand the client needs and the quotes and to book the suitable services at the correct time slots according to the itinerary.

  • To build relationships and maintain a great working relationship with clients and suppliers.

  • Being pro\-active and able to find and negotiate the most suitable products and prices for the specific client.
Breakdown of role:
  • To read and understand in full the technical itinerary received from the Business Development team as well as service lines inserted in the system, identifying if basic details are missing, when comparing with the Offer/Quotation and to the client program.

  • To identify the most suitable products for the client and the programme quoted.

  • To ensure that the services are booked, correct timings, and the rates reflects the quotation/offer and are what the client wants. Consult with the B.D. when elements don’t coincide.

  • To make sure that suppliers’ service confirmations match the contract rates.

  • To negotiate and try to buy under budget where possible, to increase margins, without compromising on quality.

  • To understand and negotiate terms and conditions with suppliers, to match clients’ needs.

  • To build relationships with all suppliers and ensure that you have excellent knowledge of all key services we offer our clients.

  • To prepare and double check rooming lists and vouchers, keeping constantly the system up to date as well as suppliers and clients.

  • To send proforma amendments to clients on time and ensure that all payments are made within time guidelines and always prior to the group arrival for those clients without credit facilities.

  • To liaise with accounts and make sure that term and conditions for payment are respected both by client and from our part towards suppliers, as per agreements/contracts.

  • To ensure all group files and the operations system are continually updated and correct enabling others to cover for you if the need arises.

  • To participate in any familiarization trips that need to take place to understand products and improve your knowledge.

  • To hold periodically an emergency phone during the weekend, accordingly to your department rota.
