Purpose
Manage the daily dispatch of the Dublin and Naas driver operation and coordinate the driver group to ensure routes are covered, work is completed to standard and service issues are resolved during the day.
Dispatch
- Manage the weekly driver schedule to ensure all routes are covered across Finglas and Naas
- Allocate drivers, routes and vehicles against customer service windows
- Confirm driver cover for weekend work in advance
- Arrange cover for absence, annual leave and peak periods
- Reallocate work during the day in response to delays, breakdowns, absence and additional calls
- Handle live delivery issues as they arise and communicate outcomes to the customer
- Act as the daily point of contact for the driver group
- Conduct daily driver debriefs and record outcomes
- Ensure drivers are adhering to requirements including daily walkaround checks, completed paperwork and handheld signoff
- Follow up on incomplete calls, missing paperwork and outstanding signoffs
- Track driver overtime and report weekly
- Address non adherence to standards directly, and escalate to the Operations Manager where a formal process is required
- Support driver onboarding and route familiarisation
- Customer queries relating to deliveries, collections and service issues
- Holiday scheduling and maintaining the leave calendar against operational cover
- Fleet maintenance and defect management: assist with logging defects, tracking them to closure with the workshop, and coordinating vehicles for service, CVRT and PMI
- Monitoring driver use of Tranzaura, including walkaround check completion
- Supporting driver hours and tachograph follow up alongside the Operations Manager
- Investigating recurring operational issues and proposing corrective action
- Maintaining records to ISO 9001 standard
- Two years or more experience in an administration role with experience in a dispatch, transport office or operations coordination role being preferred
- Experience with organisation, structure and tasks requiring attention to detail is essential
- Need to be comfortable dealing directly with drivers, including holding them to operational standards
- Strong verbal and written communication
- Competent with Microsoft 365, particularly Excel and Outlook
- Accurate, organised, and effective under time pressure
- Experience supervising or managing drivers
- Experience in a multi depot or multi customer contract operation
- Familiarity with a transport or fleet management system such as Tranzaura or Cameramatics
- Working knowledge of tachograph rules, driver hours, CVRT and PMI
- Exposure to ISO 9001
- Salary €38,000 to €44,000 depending on experience
