Operations Assistant
Role Purpose
The Operations Assistant will provide practical, well\-organised administrative support across people, operations, compliance, marketing, events, systems, finance administration and business support activity. The role is varied and hands\-on, helping ensure information is accurate, deadlines are met, systems are maintained and internal processes run smoothly.
We offer hybrid working and this role is open to both part\-time and full\-time applications.
Responsibilities include but are not limited to:
- Coordinate and administer internal events including SLT meetings, training sessions, whole\-business events and staff engagement activities.
- Manage event logistics including venue bookings, communications, administration and post\-event evaluation support.
- Support recruitment administration by scheduling calls and interviews, liaising with candidates/agencies and maintaining recruitment records.
- Maintain accurate employee records, HR documentation and onboarding, induction, appraisal, new starter and leaver administration.
- Maintain TWO PLUS TWO project details, communications hub content, compliance records, policies, certifications and training logs.
- Monitor document review dates, support internal audits and assist with Health \& Safety administration.
- Support marketing administration, campaign coordination, content distribution and the development of marketing materials.
- Support data migration projects by transferring information from existing files and databases into new systems and maintaining accurate data.
- Identify and resolve data quality issues, support data cleansing and assist with system audits.
- Maintain subconsultant documentation and support procurement administration, portal updates and proposal/framework setup.
- Chase outstanding timesheets, monitor deadlines and escalate late submissions where required.
- Maintain payroll records and supporting documentation.
- Process and distribute invoices for approval.
- Assist with reconciliation activity including expense and credit card activity.
- Support the accuracy and integrity of data within Sage Intacct, including employee, client, supplier and project records.
- Assist with company credit checks and other administrative tasks required to support business operations.

Essential skills or experience:
- Strong administration and coordination skills with excellent attention to detail.
- Able to manage multiple priorities, deadlines and stakeholders in a busy operational environment.
- Confident communicating with colleagues, candidates, suppliers and senior stakeholders in a professional and approachable way.
- Comfortable maintaining records, checking data quality and working with systems, databases or business portals.
- Highly organised, proactive and able to follow tasks through to completion.
- Trusted to handle confidential people, payroll, supplier and project information with care and discretion.
- Solutions\-focused and willing to support a broad range of HR, operations, marketing, finance and compliance activity.

Pay: £27,000\.00\-£40,000\.00 per year
