Who We Are:

IBL Bulk Liquids are a major import/export storage \& warehousing terminal which operates in the city of Hull across sites on the River Hull and in the Port of Hull. With over 145 storage tanks ranging in size, the company offers a variety of bulk liquid product storage solutions. The facility includes handling capabilities for road tankers, containers, ships, warehousing \& filling facilities making it a prime location for import, export, and transhipment operations.

The Role:

This is an exciting opportunity to join an established company as a full\-time Site based Operations Administrator.

Located in Kingston upon Hull, England. Our Operations Office is the key interface between IBL and its customers. You will support the smooth day\-to\-day operation of all incoming \& outgoing material, the role involves providing administrative assistance in our offices and being the pivot between our valued customers and the yard operatives, using office computer based systems \& laboratory equipment, maintaining clear communication channels between the foremen \& yard operators, delivering quality customer service, and managing office administration tasks on a day\-to\-day basis. Some travel may be required between sites on occasion. This would be a Monday\-Friday office based role. The successful candidate will undergo a 6 month probationary period.

The Fully Trained Operations Administrator Will:

  • Work in accordance with the company's health, safety \& quality requirements.

  • Weigh vehicles using our weighbridge system upon arrival \& prior to departure.

  • Monitor emails for customer communications, capturing \& transferring data from customers by inputting onto Excel spreadsheets.

  • Communicate clearly and concisely with customers directly, via telephone \& email.

  • Communicate real time changes and or updates to site foremen \& yard operatives.

  • Prepare \& Issue customer orders and work instructions using our SB Client software.

  • Process completed orders, goods in / goods out notes.

  • Maintain stock records and produce stock reports.

  • Schedule, plan and control vehicles arriving on site.

  • Test incoming bulk material \& finished blends using laboratory equipment.

  • Undertake product quality control and regulatory compliance requirements, including the creation of Certificates of Analysis.

  • Capture data \& prepare customer invoices for associated reports/month end figures.

  • Provide assistance were required with internal audits.

  • Provide cover for colleagues during absences (some local travel in Hull may be required to a different site).

  • Support the team with general administrative duties such as filing, photocopying, and maintaining office supplies inventory.

  • Be aware of, use and promote IBL's BS EN ISO Quality Management Systems \& Quality policy.
Skills, Experience and Qualities you'll need:
  • Experience in a similar office based role is essential.

  • Strong literacy \& numeracy skills.

  • Strong communication skills.

  • Strong customer service skills.

  • Excellent organisational skills with the ability to prioritise tasks effectively in a fast\-paced environment.

  • Ability to work independently as well as part of a team, demonstrating reliability and professionalism.

  • The ability to multi task effectively.

  • Technically Proficient, Knowledge of outlook emails, Excel \& Microsoft word applications.

  • Knowledge of the shipping or logistics industry would be advantageous.

  • Bringing a proactive attitude and willingness to learn are highly valued. This role provides an excellent platform for career development within administrative functions while contributing significantly to the organisation’s success through effective support and organisation.
