Role: Operations Administrator and Executive Assistant
Reports to: Managing Director
Location: Altaras International, Worcester
Contract: Permanent, Full time (Open to Part time)
Hours: Five days per week.
Role purpose
This is a broad role combining day\-to\-day operational administration with direct support to the Managing Director. The successful candidate will help ensure that customer orders, purchasing, goods movements, invoicing and management information are processed accurately and on time.
They will also prepare presentations, operational\-review reports, customer updates and project plans, coordinating information across the business and following up outstanding actions.
Main responsibilities
- Processing customer sales orders and maintaining accurate order information
- Preparing purchase requisitions, obtaining quotations and raising purchase orders
- Monitoring supplier acknowledgements and delivery dates
- Coordinating goods received records and checking associated paperwork
- Preparing despatch documentation and arranging couriers and collections
- Supporting import and export administration where required
- Preparing sales invoices and supporting purchase\-invoice processing
- Maintaining accurate commercial and operational records
- Preparing presentations and reports for management and operational reviews
- Compiling customer progress updates using information from different departments
- Creating and maintaining project plans, milestone trackers and action lists
- Arranging meetings, taking minutes and following up agreed actions
- Drafting correspondence and internal communications
- Providing general administrative and organisational support to the Managing Director
- Handling sensitive and confidential information appropriately
We are looking for an experienced, capable and well\-organised administrator who can work independently and take ownership of their responsibilities.
The successful candidate should have:
- Previous experience in administration, operations coordination, office management or executive support
- Strong Microsoft Excel, PowerPoint, Word and Outlook skills
- The ability to prepare clear, professional reports, presentations and customer communications
- Excellent organisation and attention to detail
- Strong written and verbal communication skills
- Confidence dealing with customers, suppliers and colleagues at all levels
- The ability to manage several priorities and follow tasks through to completion
- A proactive and dependable approach
- Discretion when handling confidential or commercially sensitive information
Working arrangements
The position is based on site in Worcester and is required across five days each week to provide continuity of support. Part time working would also be considered.
Some occasional flexibility may be useful for important customer or operational meetings, with reasonable notice.

Pay: £30,000\.00\-£35,000\.00 per year
