We are looking for an organised, detail\-oriented Operations \& Administration Manager to oversee the systems, processes, and financial administration that keep the business running efficiently behind the scenes.
The Role
This is a key role responsible for the day\-to\-day operational and administrative management of the business. You will oversee inventory control, bookkeeping, consignment administration, logistics, compliance, and e\-commerce administration, ensuring the business operates accurately and efficiently.
Key Responsibilities
- Maintain accurate inventory records and oversee stock movements, arrivals, sales, transfers, and discrepancies.
- Develop and improve systems and processes to support inventory control and operational efficiency.
- Manage bookkeeping, financial records, supplier payments, and business expenses.
- Support quarterly VAT submissions, sales reporting, and financial reconciliations.
- Administer consignment accounts, including tracking sales, preparing invoices, and processing client payouts.
- Coordinate shipping, insurance, security systems, and key operational suppliers.
- Ensure compliance with business, financial, and regulatory requirements, including licences, permits, and business obligations.
- Manage business rates, taxes, and other operational commitments.
- Upload and maintain product listings and inventory data on Shopify.
- Maintain organised records and provide administrative support across the business.
- Identify opportunities to improve systems, workflows, and operational processes.
- Minimum 3 years' experience in operations, administration, bookkeeping, or a similar role.
- Strong understanding of inventory management and financial administration.
- Experience with Shopify, inventory management software, and accounting systems.
- Excellent organisational skills and exceptional attention to detail.
- Strong analytical, problem\-solving, and time\-management abilities.
- Ability to work independently and manage multiple priorities in a fast\-paced environment.
- Luxury retail, resale, consignment, or e\-commerce experience.
- Knowledge of VAT regulations and financial compliance.
- Experience in logistics, stock control, or supply chain operations.
