Job Summary
We are looking for a well-organised and proactive Office Manager / PA to run the day-to-day operation of our office and provide personal and administrative support to the directors. This is a varied, hands-on role that combines office management, diary and inbox management, general PA duties and the administration of a small buy-to-let property portfolio. It would suit someone who enjoys being the person who keeps everything running, is comfortable working with a good degree of autonomy, and is looking for part-time hours with genuine flexibility.
The Company
A well-established, independent recruitment consultancy based in Liverpool. The business is small, close-knit and informal, with a strong track record and long-standing client relationships. The directors also manage a number of residential buy-to-let properties, and this role supports both the office and that portfolio.
Roles & Responsibilities
- Managing the smooth day-to-day running of the office – supplies, equipment, post, suppliers, facilities and any general upkeep
- Acting as first point of contact for visitors, calls and general enquiries
- Diary management for the directors – scheduling meetings, appointments and travel, and keeping the week running to plan
- Managing inboxes, prioritising correspondence and drafting replies where appropriate
- General PA support – booking travel and accommodation, expenses, preparing documents, filing and record keeping
- Some personal assistance to the directors – personal appointments, errands and ad-hoc tasks as required
- Administering a buy-to-let property portfolio – tenant liaison, rent tracking, arranging maintenance and repairs, liaising with letting agents, contractors and tradespeople
- Keeping property compliance up to date – gas safety, EICR, EPC, deposit protection, insurance renewals and tenancy paperwork
- Maintaining accurate records and basic bookkeeping across the office and property side, and liaising with the accountant as needed
- Supporting the wider team with ad-hoc administrative tasks and projects
- Previous experience as an Office Manager, PA or similar administrative role
- Excellent organisational skills, with the ability to juggle multiple priorities and stay on top of the detail
- Confident, professional communicator – both written and verbal
- Discreet and trustworthy, comfortable handling confidential and personal matters
- Good working knowledge of Microsoft Office
- Experience of property or lettings administration is an advantage but not essential – a willingness to learn is more important
- Self-starter who can work unsupervised and use their initiative to solve problems before they become issues
- A calm, can-do attitude and a sense of humour
