About Mayco

Mayco is a multi\-disciplinary construction, mechanical, electrical and facilities management contractor delivering projects and maintenance services across a range of sectors including education, healthcare, manufacturing, commercial and industrial environments.

As part of our continued growth, we are seeking an organised, proactive and dependable Office Manager to oversee the day\-to\-day administration of the business and support the wider management team.

The Role

The Office Manager will be responsible for ensuring the smooth and efficient operation of the company's administrative functions. Working closely with directors, project managers and engineers, you will play a key role in supporting finance, HR, compliance, fleet management, facilities management administration and business operations.

This is a varied role requiring excellent organisational skills, attention to detail and the ability to manage multiple priorities within a fast\-paced environment.

Key Responsibilities Office \& Administration

  • Manage the day\-to\-day running of the office.

  • Maintain company records, filing systems and databases.

  • Handle incoming calls, emails and correspondence.

  • Support directors and managers with administrative tasks.

  • Manage office supplies, stationery and equipment.
Finance Support
  • Raise customer invoices.

  • Process supplier invoices and purchase orders.

  • Assist with credit control and payment tracking.

  • Reconcile delivery notes and supplier documentation.

  • Support monthly reporting requirements.
HR \& Personnel
  • Maintain employee records and personnel files.

  • Coordinate recruitment administration and onboarding.

  • Arrange training courses and maintain training records.

  • Manage holiday, sickness and absence records.

  • Support employee inductions and compliance requirements.
Compliance \& Health \& Safety
  • Maintain compliance documentation and company accreditations.

  • Monitor expiry dates for training, insurances and certifications.

  • Manage subcontractor vetting and approval processes.

  • Assist with policies, procedures and document control.
Fleet \& Asset Management
  • Coordinate vehicle servicing, maintenance and inspections.

  • Manage fuel cards and vehicle documentation.

  • Maintain records for company equipment, phones and tablets.

  • Coordinate PPE, uniform and consumable stock.
Facilities Management Administration
  • Support reactive and planned maintenance operations.

  • Schedule works and coordinate engineers where required.

  • Manage service reports and client documentation.

  • Update CAFM and job management systems.
Business Support
  • Assist with bid and tender submissions.

  • Maintain company information libraries and accreditation portals.

  • Support marketing activities and company communications.

  • Identify opportunities to improve office systems and processes.
Skills \& ExperienceEssential
  • Previous experience in an Office Manager, Office Administrator or Business Support role.

  • Strong organisational and administrative skills.

  • Excellent communication skills.

  • Proficient in Microsoft Office applications.

  • Ability to work independently and prioritise workload.

  • High level of accuracy and attention to detail.
Desirable
  • Experience within construction, engineering or facilities management.

  • Experience using job management or CAFM systems.

  • Knowledge of invoice processing and credit control.

  • Understanding of compliance and health \& safety administration.
