Regular tasks:
DAY\-TO\-DAY ADMINISTRATION: Maintaining office supplies, ensuring equipment functionality through IT/supplier contact, and overseeing the cleanliness and organization of common areas.
RECEPTION \& VISITOR MANAGEMENT: Greeting diverse guests (partners, journalists, suppliers), managing the front desk, and organizing hospitality elements like catering and flowers.
LOGISTICS \& DOCUMENTATION: Coordinating mail and package pickups, visiting the post office, scanning documents and maintaining both physical and digital filing systems.
HEALTH, SAFETY, \& EDUCATION: Acting as the primary contact for HSE suppliers (e.g., company doctors) and managing safety education initiatives.
COMMUNICATION \& MEETINGS: Managing internal visitor/event calendars, facilitating team communication, and supporting meetings for Design, Licensing, and Communication/Events departments.
SUPPORT AND ADVISE the team in solving open issues.

Responsibilities:
OPERATIONAL CONTINUITY: Ensuring there are no disruptions to office workflow due to equipment failure or lack of supplies.
PROFESSIONAL REPRESENTATION: Maintaining the entrance and front desk to a standard that is inviting and professional for all external stakeholders.
DATA ACCURACY \& PRIVACY: Responsible for the secure handling and timely sharing of sensitive documentation.
SAFETY COMPLIANCE: Ensuring the company remains in alignment with Health and Safety regulations through consistent contact with the company doctor and supplier.
INFORMATION MANAGEMENT \& ESCALATION: Actively requesting missing information or escalating issues when data is unavailable to ensure process flow.
IT SUPPORT COORDINATION: Raising IT tickets immediately whenever technical problems occur to minimize downtime.
LOGISTICS \& TEAM COLLABORATION: Working closely with the team to ensure all mail and packages are dispatched on time.
ADMINISTRATIVE WAREHOUSE SUPPORT: Responsible for filing and managing delivery notes to maintain organized warehouse records.
PROCUREMENT ASSISTANCE: Supporting the superior with procurement processes and purchasing activities.
Required skills and competencies:

Administrative proficiency, supplier coordination, document controlling, calendar and event planning, interpersonal excellence, exceptional organizational skill, proactive problem solving, discretion and reliability, clear communication, strong verbal and written skills, high attention to detail , proficiency in vocal and written German and English, proficiency in Croatian is an asset.
