Background
Due to this continued growth and move we have a new opportunity for an efficient and motivated Office and reprographics Assistant to join our Cardiff team, to ensure the smooth day to day running of the office. The lawyers in the office undertake a variety of medical negligence, personal injury and commercial property work.
The role
This is a diverse and interesting role and a rare opportunity to join a progressive law firm with ambitious growth plans over the next five years.
As an Office and Reprographics Assistant within Hugh James you are required to provide professional support to the Firm, taking calls from the helpdesk and carrying out other daily and ad hoc duties.
Financial Management
- Ensure the proper storage of stationery and other supplies in order to:
- limit against damage
- easy access to stock to avoid over/duplicate ordering
- Recycle stationery where appropriate eg lever arch files
- Make cost saving suggestions
- Ensure all requests into the department either via the helpdesk or directly are responded to in a timely manner
- Where a matter cannot be resolved straight away ensure the individual is updated and receives regular updates and or contact
- Build and maintain relationships with key people within the firm
- Ensure that the department had an approachable image for all internal clients
- Support any business development and networking activities
- Be aware of the different departments within the firm and respond positively and proactively to any enquiries
- Where appropriate pass these enquiries onto the Legal Network Wales team
- Assist colleagues to meet departmental targets and/or SLAs
- Cover duties of colleagues in their absence
- Provide cover and assistance in other departments as and when required
- Knowledge share including disseminating knowledge from training events
- Ensure the helpdesk is monitored and calls are picked up quickly and efficiently
- Carry out a large volume of photocopying and binding
- Daily franking of post firm\-wide
- Distributing internal and external mail
- Ordering and delivering stationery to relevant personnel
- External deliveries when required
- Administering faxes to relevant personnel
- Progress all work in a timely manner ensuring any SLA's are met
- Comply with the Firms procedures including quality, risk, ISO, Lexcel etc
- Effectively prioritise workload
- Meet deadlines and targets
- React positively to change
- Undertake training as needed to meet requirements of the role
- Proactively participate at your appraisal and review meetings
