Head Office Administrator for childcare business \- Simply Out of School
Simply Out of School is a well\-established private company providing breakfast, after school, wraparound, and holiday clubs for primary school children.
We're looking for an individual to provide efficient and professional administrative support to the Director and management team, ensuring the smooth operation of the Head Office and supporting the effective delivery of childcare services across all settings. The postholder will act as a key point of contact for parents, schools, staff, and external professionals while maintaining high standards of organisation, communication, and compliance.
Hours \& Pay
- Monday to Friday, 9\.30am – 5\.30pm (37\.5 hours per week)
- 30 minutes unpaid lunch
- Starting rate: £13 per hour (negotiable depending on qualifications and experience)
- 3\-month probation period
· Qualifications: Admin and childcare qualification favourable and advantage.
· Training: Paediatric first aid, safeguarding not essential but advantage
· Driving license is essential for this role.
· Please note – An element of the role will require you to cover in a club setting.
Key Responsibilities
- Provide comprehensive administrative support to the Director and management team.
- Support the day\-to\-day operations of the Head Office, ensuring administrative processes run efficiently and effectively.
- Manage diaries, appointments, meetings, telephone enquiries, emails, and bookings in a professional and timely manner.
- Maintain accurate records and databases, ensuring information is up to date and stored in line with company procedures and data protection requirements.
- Manage and maintain the company’s online booking system, ensuring bookings and attendance records are accurate.
- Liaise with parents, schools, external professionals, and other stakeholders, delivering excellent customer service at all times.
- Contact parents to obtain and update essential information, including medical details, allergies, emergency contacts, and booking information.
- Prepare, distribute, and maintain company documentation, including policies, consent forms, medical forms, newsletters, and activity resources.
- Assist with recruitment and onboarding administration, including the preparation of employment documentation and staff records.
- Support compliance requirements by maintaining records and assisting with audits, inspections, and regulatory requirements, including CIW and Ofsted standards.
- Attend meetings, take accurate minutes, and follow up on agreed actions where required.
- Support the launch of new club provisions by assisting with administration, school liaison, and operational planning.
- Coordinate and distribute resources, equipment, and materials to club settings as required.
- Provide operational support to club settings where necessary, including assisting with staff cover arrangements.
- Produce reports, spreadsheets, and other administrative documents to support business operations and decision\-making.
- Occasionally travel to club settings, schools, training events, or business meetings as required.
- Undertake any other reasonable duties appropriate to the role as directed by management.
- Previous experience in an administrative, office support, or customer service role.
- Proficient in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
- Excellent organisational skills with the ability to prioritise workloads and meet deadlines.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to handle confidential information sensitively and professionally.
- Experience maintaining records and databases.
- Ability to work independently and as part of a team.
- Professional and friendly approach when dealing with parents, schools, staff, and external agencies.
- Full UK driving licence and access to a vehicle.
- Experience working within childcare, education, or a regulated environment.
- Knowledge of CIW and/or Ofsted requirements.
- Experience using online booking or management systems.
- Experience supporting recruitment and HR administration.
