Office Administrator Assistant
We are seeking an organised and proactive Administrative Assistant to support a group of Early Years settings. The successful candidate will provide administrative, compliance, finance, and communication support to ensure the smooth operation of our nurseries. Job Purpose
To provide efficient, accurate, and proactive administrative support across a group of Early Years settings. The Administrative Assistant will help ensure the smooth day\-to\-day operation of the settings by supporting the Operational Director/ CFO and managers with administrative tasks, maintaining records, coordinating communications, and assisting with compliance and operational processes.
Key Responsibilities
General Administration
- Provide administrative support to Operational Director/ CFO/ managers and leadership teams across multiple settings.
- Maintain accurate records, databases, and filing systems, both electronic and paper\-based.
- Prepare correspondence, reports, newsletters, and other documents as required.
- Manage incoming emails, telephone enquiries, and post, responding or directing enquiries appropriately.
- Schedule meetings, prepare agendas, and take minutes when required.
- Credit card administrator
- Pension scheme administrator
- Collates monthly KPI schedule
- Updates / rolls over Board pack
- Maintain confidential child, family, and staff records in accordance with data protection requirements.
- Assist with admissions, registrations, and enrolment documentation.
- Support the management of attendance records and reporting.
- Ensure information held on nursery management systems is accurate and up to date.
- Assist with maintaining records required for regulatory and inspection purposes.
- Support settings in monitoring policies, procedures, risk assessments, and mandatory documentation.
- Track training records, staff certifications, and compliance deadlines.
- Help prepare documentation for audits, inspections, and quality assurance reviews.
- Support invoicing, fee collection, and payment tracking processes.
- Assist with purchase orders, supplier invoices, and expenditure records.
- Maintain accurate financial administration records in line with organisational procedures.
- Liaise with finance colleagues regarding queries and reconciliations.
- Assist with recruitment administration, including arranging interviews and processing documentation.
- Support onboarding processes for new employees.
- Maintain staff records, training logs, and absence records.
- Assist with PVG checks and safer recruitment documentation where required.
- Act as a point of contact between settings, families, staff, and external agencies.
- Support communication initiatives and the distribution of information across the group.
- Coordinate administrative projects and group\-wide activities.
- Promote a professional and welcoming image of the organisation at all times.
Essential
- Previous administrative experience.
- Excellent organisational and time\-management skills.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- Ability to manage confidential information sensitively and professionally.
- Ability to prioritise workload and work independently across multiple tasks.
- Experience working within an Early Years, education, childcare, or school environment.
- Knowledge of nursery management software systems.
- Understanding of safeguarding, GDPR, and compliance requirements within Early Years settings.
- Experience supporting finance or HR administration.
- Professional, reliable, and approachable.

The post holder will be expected to support and promote the safeguarding and welfare of children. The successful applicant will be subject to appropriate pre\-employment checks, including references and PVG check where required.
Job Types: Part\-time, Permanent
Pay: £26,520\.00\-£27,040\.00 per year
