Job Description

As Manager Fund Operations, you will be responsible for the delivery and oversight of Fund Operations services for a portfolio of dedicated fund mandates in the alternative investment sector. In addition to managing your own mandates, you will lead, supervise and support the Fund Operations Officers, ensuring consistent service quality, operational efficiency and adherence to internal procedures.
You will serve as a senior operational point of contact for clients and service providers and act as the escalation point for complex operational matters. Working closely with the Head of Product Management, you will contribute to process enhancements, operational excellence initiatives and the continuous development of the Fund Operations function.

The candidate will oversee the administrative part of a fund mandate from set\-up to liquidation, usually including the following main activities:

*Team Oversight \& Delivery Management*

• Oversee the day\-to\-day activities of the Fund Operations Officers and ensure timely completion of all assigned tasks.


• Monitor workload allocation, priorities and resource planning across the team.


• Ensure operational deliverables are completed within agreed timelines and in accordance with internal procedures and service level expectations.


• Perform quality reviews of key deliverables and ensure a consistently high standard of output.


• Act as first escalation point for operational issues, bottlenecks and service provider matters.


• Identify operational risks and ensure appropriate remediation measures are implemented.

• Oversee the operational lifecycle of fund structures from onboarding to liquidation.


• Ensure all operational processes are executed in accordance with fund documentation, regulatory requirements and internal policies.


• Monitor the completion of critical operational events and deadlines across assigned fund mandates.


• Ensure appropriate record keeping and documentation standards are maintained.

• Monitor service quality, responsiveness and adherence to agreed service levels.


• Review key deliverables received from service providers and ensure timely resolution of outstanding items.

• Oversee the annual audit process and ensure all stakeholders meet agreed timelines.


• Review completeness financial statements, audit deliverables and supporting documentation prior to submission.


• Oversee NAV review and fee calculation verification processes performed by the team.


• Ensure timely completion of financial reporting obligations and escalation of material issues.

• Oversee bank account opening processes and related documentation.


• Supervise an process payment execution workflows and cash monitoring activities.


• Review payment instructions and cash reconciliations.


• Ensure appropriate controls and segregation of duties are maintained throughout the process.

• Oversee board meeting preparation, corporate governance activities and corporate filings.


• Ensure regulatory filings are completed accurately and within required deadlines.


• Monitor compliance with fund documentation and regulatory requirements.


• Review and approve key governance and regulatory deliverables prepared by the team.

• Continuously assess operational processes and identify areas for improvement.


• Drive standardisation, efficiency enhancements and automation initiatives.


• Establish and maintain operational controls and monitoring frameworks.


• Hold regular review meetings with the Head of Product Management to discuss operational challenges, improvement initiatives and control enhancements, and support the implementation of agreed actions across the team.

• Minimum 7\-10 years of relevant professional experience, e.g. in fund operations, administration, or alternative investment fund management.


• Strong understanding of Luxembourg regulated and unregulated alternative investment structures.


• In\-depth knowledge of fund operations, transfer agency, governance, accounting oversight and regulatory requirements.


• Excellent stakeholder management and communication skills.


• Strong organizational skills with the ability to manage multiple priorities simultaneously.


• High attention to detail and commitment to quality.


• Solution\-oriented mindset with strong analytical capabilities.


• Fluency in English is mandatory; German is considered a strong advantage.
