About the position

We are looking for a highly organized, proactive, and service\-oriented Management Assistant to support senior leaders within our NPE Division. Acting as a trusted partner, you will ensure smooth day\-to\-day operations, enable an effective leadership environment, and contribute to strong collaboration across a global organization. This role goes beyond traditional administrative support—you will play a key part in driving operational efficiency, facilitating coordination across teams and geographies, and supporting continuous improvement through digital and innovative ways of working.### Your responsibilities and tasks
Executive \& Administrative Support
- Provide proactive administrative and organizational support to senior leaders
- Manage complex calendars across different time zones, ensuring effective prioritization of meetings and business activities
- Handle sensitive business and people\-related information with the highest level of discretion and confidentiality
- Support follow\-up on action items, deadlines, and key initiatives
- Organize international and domestic travel, including flights, accommodation, visas, and logistics
- Manage travel expenses, purchase orders, and invoice follow\-up in line with company policies
- Coordinate leadership meetings, workshops, town halls, and team events
- Prepare high\-quality presentations, reports, and meeting materials
- Support internal communication activities, including announcements, newsletters, and leadership updates
- Act as a central coordination point across functions, countries, and leadership teams within the NPE organization
- Collaborate with HR, Finance, Procurement, IT, and Communications teams
- Maintain organizational charts, distribution lists, and team information
- Coordinate onsite meetings and leadership visits, including logistics and agenda preparation
- Identify opportunities to simplify administrative processes and improve efficiency
- Support the adoption of digital tools and AI\-based solutions
- Contribute to modern, professional communication and collaboration standards
Your profile and qualifications
Experience \& Education
- Bachelor’s degree in Business Administration, Management Assistance, or a related field (preferred)
- 3–5 years of experience in a similar management or executive assistant role
- Experience supporting senior leadership in an international or matrix environment
- Strong organizational and multitasking skills with high attention to detail
- Excellent communication and interpersonal abilities
- High level of professionalism, discretion, and reliability
- Proactive, solution\-oriented mindset with the ability to work independently
- Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams; Power BI is a plus)
- Digital mindset with interest in process optimization and AI tools
- Fluent English and Spanish required
- Additional languages are a plus
