MAINTENANCE CO-ORDINATOR
Unico are delighted to be partnering with an established maintenance and facilities organisation who due to business needs are looking for a Maintenance Co-ordinator to support their clients
As a Maintenance Administrator, you will be responsible for efficiently managing and coordinating claims from start to finish. This includes organising schedules for Contract Managers/Surveyors, liaising with policyholders, trades, and clients, ensuring timely completion of work, and maintaining accurate records in internal systems. You will be expected to provide excellent customer service, meet service level agreements (SLAs), ensure GDPR compliance, and report key information to the Operations Manager.
Key Responsibilities:
- Organise and maintain Contract Managers/Engineers diaries for site visits, office time, and site inspections.
- Authorise works efficiently, ensuring continuity of trades and meeting SLAs.
- Provide exceptional customer service and communicate regularly with clients
- Manage trades' schedules and ensure trades are fully booked
- Communicate with trades daily and ensure safety and timeliness of site arrivals and departures.
- Maintain up-to-date records and notes on inhouse database
- Ensure that all correspondence, documents, and multimedia (photos, videos, etc.) are uploaded and properly documented.
- Adhere to GDPR regulations when handling personal data,
- Strong organisational and communication skills.
- Ideally to have experience of working with claims or insurance administration
- Excellent customer service attitude.
- Ability to manage multiple tasks and priorities efficiently.
- Proficient in using inhouse client portals.
- Knowledge of GDPR compliance and data protection best practices.
