Logistics Administrator (Full Time)

DM Calibration

DM offers a fully\-managed, precision calibration service, devised to allow our customers to benefit from industry\-leading calibration practices. Delivered through our mobile, on\-site units or UKAS\-approved laboratory, we keep our customers operating with minimal downtime, ensuring their equipment is accurate, compliant and fully audit\-traceable.

JOB SUMMARY / OVERALL PURPOSE OF ROLE:

To support the efficient day\-to\-day running of the operations and logistics function including booking in customer items, carrying out incoming inspections, dispatch coordination, driver and courier liaison, quotation preparation, customer communication, and administrative support.

This is a fast\-paced position requiring excellent organisational skills, strong customer service ability, and confidence working across multiple computer systems simultaneously.

KEY RESPONSIBILITES:

  • Book in customer items, carry out incoming inspections and process orders accurately.

  • Handle sensitive and high\-value equipment carefully during loading and unloading, ensuring items are unpacked, stored, packed, protected, and secured safely for onward movement.

  • Use appropriate manual handling techniques and equipment, identifying and reporting any packaging concerns, damage risks, or transport issues promptly.

  • Check incoming items against customer documentation and report any discrepancies or visible damage.

  • Coordinate dispatch activities and process completed items for shipment.

  • Prepare customer quotations and logistic requirements.

  • Liaise with customers regarding quotations, paperwork, deliveries, collections, and shipment updates.

  • Coordinate collections and deliveries with drivers and courier companies.

  • Track shipments and resolve delivery or collection issues efficiently.

  • Accurately prepare logistics and shipping documentation including delivery notes, courier labels, customs paperwork, and import/export documentation.

  • Provide initial customer fault advisory support and issue triage.

  • Maintain accurate records across company systems and databases.

  • Work collaboratively with internal departments to support operational efficiency.

  • Ensure work is completed accurately, within deadlines and in line with company procedures.

  • Provide additional support as required by your line manager.
Health, Safety and Customer Site Rules
  • Follow all Health \& Safety procedures, including manual handling and safe loading.

  • Comply with customer site requirements (sign\-in, PPE, restricted areas, confidentiality).

  • Report incidents, near misses, and hazards promptly.
KEY REQUIREMENTS
  • Strong administration and coordination skills.

  • Previous customer service or operations administration experience.

  • Excellent communication skills, both written and verbal.

  • Strong IT skills with confidence using multiple systems in a fast\-paced environment.

  • High level of attention to detail and accuracy.

  • Able to manage workload effectively and prioritise tasks.

  • Confident telephone manner and professional customer approach.

  • Able to work independently and collaboratively within a team.

  • Able to move and handle equipment safely, using appropriate manual handling equipment and support where required.
DESIRABLE SKILLS \& EXPERIENCE
  • Logistics, dispatch, or transport administration experience.

  • Experience preparing quotations or processing customer pricing enquiries.

  • Knowledge of import/export or customs documentation.

  • Experience within a technical service, calibration, engineering, or manufacturing environment.
