Role Overview

Durrant Talent Solutions is partnered with an established Estate Agency that is looking to add a Lettings Operations Administrator to its growing team.

As a Lettings Operations Administrator, you will provide comprehensive administrative support throughout the lettings process, helping to ensure properties progress efficiently from the initial application through to tenancy commencement and beyond.

Working closely with landlords, tenants, applicants, contractors and the wider lettings team, you will be responsible for maintaining accurate records, preparing tenancy documentation, progressing applications and ensuring all relevant information and compliance requirements are completed within the required timescales.

This is an excellent opportunity for an experienced Lettings Administrator, Property Administrator or someone with a strong administration background who is looking to develop their career within residential lettings.

Role Responsibilities

  • Provide day-to-day administrative support to the lettings team.

  • Manage the administration of new tenancies from offer acceptance through to move-in.

  • Respond professionally to enquiries from landlords, tenants, applicants and other relevant parties.

  • Process tenancy applications and assist with referencing and applicant checks.

  • Prepare and issue tenancy agreements, renewal paperwork and other relevant tenancy documentation.

  • Chase outstanding information and documentation to ensure tenancies progress within agreed timescales.

  • Arrange property viewings, inspections, check-ins and check-outs where required.

  • Assist with the preparation and organisation of inventories and property reports.

  • Maintain accurate and up-to-date property, landlord, applicant and tenant records.

  • Ensure all relevant compliance documentation is obtained and recorded, including EPCs, gas safety certificates and other property certificates where applicable.

  • Assist with Right to Rent checks and other tenancy compliance requirements.

  • Liaise with landlords regarding tenancy progress, maintenance requirements and other property-related matters.

  • Deal with maintenance enquiries and liaise with contractors to arrange works where required.

  • Monitor outstanding maintenance issues and ensure relevant parties are kept updated.

  • Assist with tenancy renewals, rent reviews and other ongoing tenancy administration.

  • Process relevant invoices and administrative paperwork accurately and within required timescales.

  • Assist with deposit administration and end-of-tenancy processes.

  • Maintain accurate records on the company's property management and CRM systems.

  • Assist with updating property details and online marketing information where required.

  • Liaise with the wider property and lettings teams to ensure a smooth transition between departments.

  • Handle telephone and email enquiries promptly and professionally.

  • Ensure all administration is completed accurately and in accordance with company procedures.

  • Maintain a strong understanding of relevant residential lettings legislation and compliance requirements.

  • Build positive and professional relationships with landlords, tenants, applicants, contractors and colleagues.

Personal Specification
  • Previous experience within residential lettings, estate agency, property administration or a similar environment would be advantageous.

  • Strong administrative skills with excellent attention to detail.

  • Good understanding of the residential lettings and tenancy process.

  • Excellent written and verbal communication skills.

  • Confident dealing with landlords, tenants, applicants and contractors.

  • Highly organised with the ability to manage multiple tasks and deadlines.

  • Proactive approach with the ability to identify outstanding actions and follow them through to completion.

  • Professional, approachable and customer-focused.

  • Good IT skills with confidence using Microsoft Office and property management or CRM systems.

  • Ability to maintain accurate records and work methodically.

  • Comfortable working in a busy, deadline-driven environment.

  • Ability to work effectively both independently and as part of a wider team.

  • Previous experience with systems such as Reapit, Goodlord or similar property software would be advantageous, but is not essential.
