The Role We are seeking an experienced Practice Assistant - Commercial Real Estate to provide high-quality administrative and secretarial support to Fee Earners within a busy and successful Commercial Real Estate team. The successful Practice Assistant - Commercial Real Estate will play a key role in ensuring the smooth operation of the department, delivering exceptional client service, supporting business development activities, and maintaining the highest professional standards.
Key ResponsibilitiesOrganisational Support • Proactively manage Fee Earner diaries and maintain awareness of workloads to effectively plan ahead with minimal supervision.
- Process applications, forms, searches, and related documentation efficiently and accurately.
- Maintain a strong understanding of departmental systems, processes, and procedures.
- Act as a first point of contact for Fee Earners and clients.
- Support marketing and business development initiatives, including recording business development meetings within the CRM system.
- Maintain strict confidentiality in all client matters.
- Utilise the Document Management System effectively.
- Create documents from firm templates using CRM contact data where appropriate.
- Proofread documents thoroughly to ensure accuracy, consistency, grammar, spelling, and overall quality.
- Effectively utilise firm systems and technology to support daily operations.
- Assist with file closing and archiving procedures.
- Keep accurate records of files transferred to off-site storage.
- Assist with Anti-Money Laundering (AML) processes and obtain required client documentation.
- Conduct conflict searches and accurately identify relevant work types.
- Commercial Real Estate experience is essential.
- Experience within Rural Property would be advantageous.
- Strong organisational skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritise workloads and work effectively under pressure.
- Strong technical proficiency across Microsoft Office applications.
