Job Summary

We are seeking a proactive and detail\-oriented Legal Admin Assistant to join our dynamic legal team. In this vital role, you will provide comprehensive administrative support to ensure the smooth operation of legal processes and documentation. You will assist solicitors and paralegals with case management, document preparation, client communication, and general office duties. This role requires excellent attention to detail and organisation, strong IT skills, and the ability to manage multiple tasks in a fast\-paced legal environment.

Responsibilities

  • Perform accurate audio typing of legal documents, correspondence, and reports using Microsoft Word and other relevant software.

  • Schedule meetings, appointments, and court dates using Microsoft Outlook, coordinating with internal teams and external partners.

  • Handle incoming calls and emails professionally, directing inquiries appropriately while maintaining excellent communication with clients and team members.

  • Assisting solicitors and paralegals in progressing cases.

  • Court Filing and Bundling: File court documents electronically or physically and help compile court bundles in accordance with procedural rules.

  • Diary and Deadline Management: Track and update critical dates, including court hearings, filing deadlines, and client meetings.

  • Handling Correspondence: Draft and send letters and emails to clients, courts, barristers, and other parties.

  • Client Communication: Liaise with clients to provide updates, schedule appointments, and request required documentation.

  • Post and Email Management: Sort incoming correspondence, identify court notices and time\-sensitive materials, and direct them appropriately.

  • Fee Payments: Organise payment of court fees, issue invoices, and track billing for litigation\-related expenses.

  • Document Review Support: Assist with reviewing documents for relevance or redacting confidential information as needed.

  • Team Support: Work closely with solicitors, paralegals, and legal executives to keep cases progressing smoothly and efficiently.

  • Manage and respond to court\-related complaints and escalations, ensuring matters are appropriately investigated, resolved and monitored through to completion.

  • Provide confidential administrative support to management and departmental meetings, including preparing agendas, recording detailed minutes, documenting decisions and actions, and monitoring follow\-up requirements.

  • Prepare, review and collate case files for referral to the Costs Draftsman, ensuring all relevant documentation and information is complete, accurate and appropriately organised.
Requirements
  • Proven experience in administrative roles, preferably within a legal or professional services setting.

  • Strong audio typing skills with high accuracy; familiarity with transcription tools is a plus.

  • Excellent communication skills—both written and verbal—to effectively liaise with colleagues, clients, and external agencies.

  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and IT systems relevant to legal administration.

  • Exceptional organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.

  • Good time management skills to meet deadlines consistently while handling multiple responsibilities.

  • Basic understanding of legal terminology and processes is desirable but not essential; training will be provided for the right candidate.

  • Prioritise own workload effectively and work using own initiative.
