YOUR ROLE
The Human Resources \& Payroll Associate plays a central operational role within the HR department,
managing the full employee lifecycle from pre\-boarding through offboarding. This position is
accountable for onboarding coordination, benefits administration, payroll accuracy, and HR support.
The role works in close partnership with the HR Manager to ensure seamless employee experience and the integrity of all people\-related data and processes.
KEY RESPONSIBILITIES
- Collect, verify, and maintain all new hire documentation in accordance with company and legal requirements.
- Design, coordinate, and facilitate new hire orientation sessions in collaboration with department heads.
- Oversee workspace setup by liaising with IT, Facilities, and relevant departments.
- Own and maintain the new hire checklist, ensuring all onboarding milestones are completed on time.
- Manage all pre\-boarding activities, including background checks, offer letter tracking, and system access initiation.
- Administer benefits enrollment and eligibility processes, acting as the primary point of contact for employees.
- Manage day\-to\-day benefits operations
- Ensure accuracy of benefits data and coordinate deduction updates if necessary.
- Facilitate performance management scheduling, documentation, and tracking.
- Uphold payroll data integrity and confidentiality across all compensation records and systems.
- Validate time sheets, attendance records, and overtime submissions prior to each payroll cycle.
- Prepare and distribute the Monthly Termination/New Hire Report and monthly Payroll Report.
- Conduct payroll audits to identify and resolve discrepancies in collaboration with Finance.
- Coordinate the deactivation of all system accounts and access upon employee separation.
- Schedule exit interviews
- Oversee the collection of all company property and assets from departing employees.
- Prepare and maintain all offboarding documentation, including separation agreements.
- Coordinate knowledge transfer between departing employees and their successors.
- Manage the setting up of reference and employment verification records post\-departure.
PROFILE WE ARE LOOKING FOR
We are looking for a committed, structured, and results\-oriented professional.
Ideally, you bring
- Bachelor’s degree in human resources, Business Administration, or a related field preferred.
- 2/5 years of experience in an HR, payroll, or people operations role.
- Prior experience with HRIS and payroll platforms (e.g., ADP, Workday, Silae) strongly preferred.
- Strong understanding of payroll processes, compliance requirements, and data confidentiality standards.
- Knowledge of the French Payroll system
- Excellent organizational skills with the ability to manage multiple deadlines simultaneously.
- High degree of discretion and professionalism when handling sensitive employee information.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Proficiency in French and English
- Knowledge of the Luxembourg payroll would be a plus
