Summary
Detail\-oriented and proactive Import Operations Assistant to support the day\-to\-day running of international import activities. This role plays a crucial part in assisting the Import Operations Manager in ensuring the timely and compliant importation of goods, maintaining accurate records, liaising with stakeholders, and coordinating internal communications to keep operations flowing efficiently.
Responsibilities
Import Documentation \& Compliance Support
- Assist in the preparation and verification of customs documentation.
- Ensure documents meet regulatory compliance for imports (e.g., invoices, packing lists, certificates of origin).
- Keep up\-to\-date records of all customs submissions.
- Monitor shipment schedules and alert relevant stakeholders of any delays.
- Liaise with freight forwarders, customs brokers, and port authorities to ensure the smooth movement of goods.
- Update internal systems with tracking details and delivery timelines.
- Assist in maintaining accurate stock levels on the system, supporting the Import Manager with stock control reporting.
- Liaise with the warehouse team to coordinate stock intake schedules.
- Support ordering processes for UK\-based stock suppliers as needed.
- Serve as a point of contact for basic internal and external import queries.
- Help coordinate communications between procurement, finance, and warehouse teams.
- Schedule meetings and prepare documentation for review with the Import Manager.
- Assist in tracking shipping costs and comparing quotations.
- Support the preparation of weekly or monthly import cost and KPI reports.
- Maintain spreadsheets and logs with up\-to\-date shipping and tariff data.
- Organise digital filing systems and ensure all documentation is easily accessible.
- Support training coordination and performance tracking for overseas buying support teams.
- Prepare presentations or summaries for management when required.
Experience:
- Previous experience in a logistics, supply chain, or administrative support role preferred (1–2 years).
- Familiarity with import documentation and logistics systems is desirable.
- Competency with Microsoft Office Suite, especially Excel.
- Strong attention to detail and organisation.
- Excellent communication and interpersonal skills.
- Proactive, able to work under pressure, and comfortable handling multiple priorities.
Pay: £26,436\.80 per year
