Job Title: HR and General Office Assistant (Recruitment)

Reporting to: Employee Relations Manager

Key Requirements:

§ Be of good character.

§ Have previous experience in an administration role.

§ Previous experience in a HR/Recruitment setting is desirable.

§ Possess excellent I.T. skills in particular Microsoft Office and electronic file management systems, along with the ability to work with spreadsheets.

§ Attention to detail is essential for this role.

§ Have highly developed interpersonal and written communication skills.

§ Have the ability to work in a busy environment with changing priorities.

§ Be skilled at creating and maintaining records in electronic and hard copy format.

§ Have the ability to work on your own initiative as required, whilst also being a continuous team player.

§ Be self\-motivated to strive to maintain an organised and structured office environment.

§ Be discreet, trustworthy and capable of handling and processing confidential information.

§ All GALRO staff require to be Garda Vetted at least every three years.

Principal Function: \-

The Human Resource Administrator has overall responsibility for the management of the GALRO’s HR function; development and implementation of HR policies, procedures, strategies and initiatives, consistent with and aligned to GALRO's overall service provision and regulatory compliance. The HR and General Office Assistant role is characterised by providing administrative support to the HR Administrator and Service Managers within the region assigned.

Principal Duties and Responsibilities: \-

1\. Provide administrative support in all aspects of recruitment from initial hire, including recruitment campaigns, CV screening, phone screening, scheduling interviews, conducting interviews alongside the relevant manager, processing pre\-employment documentation and submitting employment records devised through the process of recruitment to the HR Administrator and Service Managers.

2\. Perform a variety of duties and tasks to ensure the smooth running and operation of the HR departments and other departments as required.

3\. Ensure the provision and submission of data is accurate in order to inform the issuing of contracts of employment and other documents.

4\. Ensure employee records and documents are maintained in accordance with GALRO staff Policies and Procedures and in accordance with the required regulations.

5\. Schedule and support staff to access training and ensure training data is recorded accurately and on file.

6\. Liaise with managers to input roster data to maintain time and attendance records for staff; monitor anomalies and technical difficulties and rectify same.

7\. Support Manager’s at regional level to maintain electronic records of staff competencies, supervision, probation reviews and appraisals.

8\. Assist with the recording and process of induction for new staff.

9\. Assist with staff file audits.

10\. Respond to queries received within the HR department or other departments in a timely, efficient and accurate manner.

11\. Carry out a range of office duties including typing, filing, sorting, photocopying, telephone calls and associated office administrative duties.

12\. Provide administrative support to managers as required.

13\. Support other delegated responsibilities where appropriate.

14\. Bring any issues to the attention at a regional level to The Head of Care and at HR department level to the HR Administrator.
